ADMINISTRATIVE ASSISTANT

Project Background

The Lebanon Enterprise Development (LED) is a project funded by the United States Agency for International Development (USAID) with a goal to increase employment opportunities for Lebanese citizens. Due to multiple challenges, Lebanon’s private sector is lagging in creating economic opportunities and jobs. LED will identify binding constraints preventing businesses from increasing sales or reaching new buyers/customers and will provide customized technical assistance to enable Lebanese enterprises to expand their activities, increase sales and create jobs. Over time, LED will also prioritize selected business enabling environment problems and work with the relevant stakeholders to analyze these issues and propose the needed solutions.

 

Objective of Position

The administrative assistant will provide administrative and operations support to LED including but not limited to helping to prepare correspondence, reports, forms, budgets, and presentations; helping to maintain, organize, and file documents electronically and in hard copy; conducting research and producing synopses of documents as required. The assistant may also be required to assist on matters relating to procurement or project communications and will be required to receive and welcome guests to the office and respond to in-coming telephone calls and general emails.

 

Specific Duties, Responsibilities, and Accountabilities

  • Draft, format, and/or edit written documents in English using MS Word.
  • Build, format, and/or edit spreadsheets, e.g. budgets or other tables, using MS Excel.
  • Draft, format and/or edit presentations in English using MS PowerPoint.
  • Professionally communicate to individuals within and outside LED via email using MS Outlook.
  • Maintain, organize, and file documents electronically and in hard copy.
  • Conduct basic internet research and prepare summaries of findings in English.
  • Manage the LED reception desk, receive guests and respond to in-coming phone calls and emails
  • Retrieve documents from filing system.
  • Other tasks as requested.

 

Reporting

The administrative assistant will report directly to the Chief of Party or his designee.

 

Qualifications

  • Demonstrated excellent writing skills in English required.
  • Demonstrated proficiency in Microsoft Office, e.g. Word, Excel, and PowerPoint, required.
  • Attention to detail and excellent organization skills required.
  • Fluency in spoken and written English and Arabic required.
  • Excellent organizational and multi-tasking skills.
  • Minimum two years of paid work experience excludes internships and volunteer assignments
  • Ability to work productively within a team.
  • Bachelor’s degree in business administration or another relevant field.
