Logistic and Procurement Officer (Urgent) "on behalf of Tankamel sawa"

DUTIES

  • Tendering process including all document needed
  • Draft contracts , service agreements and raise Purchase orders
  • Provides relevant quotations from preferred vendors in coordination with the finance office (budget).
  • Responds to logistics requests related to supplies, materials, and other items for project beneficiaries and activities.
  • Responsible and updating the inventory list.
  • Responsible for the delivery of Items.
  • Responsible for Petty Cash payments,  follow up with the PCs to provide budget for each request and ensure related documentations are prepared for the Finance Department
  • Implement Tankamel sawa procurement policies and templates to all purchases;
  • Filing all tendering and procurement documentation according to tankamel sawa filing system;
  • Liaise with administration and finance to manage all contracts and payments to suppliers using the Tankamel sawa management tools;
  • Explore opportunities and enter into mid-Term Supply and Service Agreements to reduce procurement process time.
  • Ensure log book for cars and fuel compiled and signed each month
  • Ensure that all items procured meet appropriate quality standards; 
  • Liaise with offices to proactively determine procurement needs and appropriate delivery schedules;
  • Research potential vendors by reviewing prices, quality and services.
  • Compare and evaluate offers from suppliers.
  • ​​​​​​​​​​​​Negotiate contracts’ terms of agreement and pricing.
  • Track orders and ensure timely delivery.
  • Ensure that all the purchase orders and purchase requests are filled accurately and signed by the designated persons before proceeding with any purchase.
  • Secure 3 quotations from 3 different vendors and ensure that the 3 quotations are of the same specifications and quantities, for any purchase above $500.  
  • Enter order details (e.g. vendors, quantities, prices) into internal databases.
  • Maintain updated records of purchased products, delivery information and invoices.
  • Prepare reports on purchases, including cost analyses.
  • Create and maintain good relationships with key suppliers to ensure merchandise is high quality and delivered on time.
  • Assisting the wash Engineer in the quality control of item delivered on site
