Accountancy and administration duties:
- Daily accountancy: receipts, cash book entries
- Accounts management (cash boxes, banks accounts) and payments of cash advances
- General accountancy and budget follow up for TDH It programs under the supervision of the Programme Administrator
- Preparation and checking of monthly accountancy to be sent to head office (receipts collection, preparation and checking, cash boxes and bank accounts follow up, expenditure summary, change rates follow up, invoices…)
- Monthly payments (internet, electricity, telephone, etc.)
- Weekly reconciliation of the bank accounts and the cash inventory
- Follow-up the partners documents, monthly accountancy books and bank reconciliation
- Attend and issue minutes for staff meetings.
- Assist the Programme Administrator in preparing the financial reports (donors reports, internal reports)
Logistic duties:
- Responsible for the filing and follow-up of all purchases documents
- Purchase orders, delivery, storage and inventories follow up
- Equipment follow up records (recording of the office inventory, maintenance follow-up tool)
- Writing of purchase orders, request for quotations and all procurement documentation
- Check the procurement procedures of TDH It partners, and assist when needed.
- Check electrical items and replace if necessary
- Check the fuel and the gas bottles for heaters and generators and replace if necessary
- Make sure that water and sanitation system is working correctly
- Follow the cleaner works and make sure to have all cleaning materials needed
- Assist staff for space management / meeting organization (weekly duties)
- Weekly checking of the vehicles (clean and roadworthy)
- Responsible of all purchases and procurement according, ensuring that TDH It standards and procedures are implemented, including: Quotations and offer collection and prices assessment, preparation of table of comparison and procurement reports
- Contract drafting and follow up
- Keep updated record of all TDH IT assets for the office and guest house(s)
Qualification Required:
- Bachelor degree in accounting or finance
- 2 years experience in accountig/finance
- Computer literacy; microsoft word, excel, outlook or other related email
- Good communications skills
- Organized and able to work under pressure
