Operations Coordinator

Position Summary:

 The  Operations Coordinator is responsible for providing support to the Logistics, sub Grant Management and Operations teams within the wider Grant and Operations Department. Through this work, he/she will contribute to the effective implementation of programmes within the Anera Lebanon country programme.

 

Responsibilities of Operations Coordinator

Administrative & Financial

  • Responsible for maintaining all supplier’s database
  • Filing all documents related to both Sub grants and operations
  • Provide accounting and administrative support
  • Providing support to the administrative coordinator when she is unavailable
  • Providing support to the finance department when required

 

Procurement & Logistics:

  • Support procurement processes including preparation of Quotation Requests, Purchase orders, receipt of quotations, bids or proposal, delivery of goods on time, receipt and inspection
  • Prepare delivery notes for all items sent to the field
  • Coordinate with ANERA’s field offices to make sure all deliveries reach them in a timely manner
  • Supervision of cleaning staff

Sub Grants

  • Auditing all partner’s financial reports and submitting report to direct supervisor
  • Check all the invoices and documents to be sure that it is acceptable (date, address, supplier name, PAID, correct total…), to make sure that the organizations are spending the budgets and are paying for people.
  • To contact the suppliers, teachers, students if there a doubt about the invoices, receipts….
  • Check all the previous payments for each organization to see if they are reporting on all the payments (to check the amendments)
  • Doing the report that illustrate all the allocated budgets per each line item, and per each payment, also compare these budgets with the spending according to the financial reports and to add the notes that must be revised.
  • Coordination with the field (Area managers, Coordinators...) to follow up with the organizations and correct what must be corrected.

Requirements:

Bachelor degree in Business Management

· Minimum of 2 years previous experience in related field (Sub grants, operations, logistics, etc.…)

· Previous administrative or programmatic experience with an international organization

· Must be fluent in English and Arabic

· Excellent knowledge of Microsoft Office

· Strong attention to detail
