Administrative Assistant

DUTIES AND RESPONSIBILITES

Administrative/Organizational 

  • Provides assistance to the Assistant Director and the President.
  • Manages, organizes, updates and processes relevant data.
  • Responsible for the petty cash (payments of small expenditures and recording).
  • Assists in the planning of meetings: prepares materials, sends agendas, takes minutes, and distributes them.
  • Contributes to the preparation of reports.
  • Liaises with various suppliers, researches new deals and compares quality and cost.
  • Purchases requested items approved by the Administration.
  • Maintains office supplies, household supplies, computer software: places purchase orders, maintains inventory, …
  • Develops and maintains a filing system.


Communication

  • Answers and directs phone calls and takes messages.
  • Writes and distribute email, correspondence memos, letters, faxes and forms.
  • Greets visitors, provides them with relevant information or directs them to the right staff member.
  • Updates the Association’s social media

 

Fundraising

  • Assists in the organization of fundraising events.

 

Performs all tasks related to Ayadina operations as directed by the Assistant director

The Administrative Assistant will demonstrate competence in the following areas:

  • Communication: Excellent oral and written communication skills.
  • Teamwork: Works cooperatively and effectively with others to set goals, follows-up, resolves problems, and makes decisions to enhance organizational effectiveness.
  • Organization: Excellent time management skills; attention to detail; the capacity to prioritize by assessing situations to determine urgency.    

 

MINIMUM REQUIREMENTS:

  • T.S. or B.A. degree.
  • One or two years of previous experience as Administrative assistant.
  • Fluent in English and Arabic, French is an asset.
  • Strong skills in: Word, Excel, PowerPoint.
  • Strong skills in Social media.
