Logistic Responsibilities
- Make follow-up of orders and present the situation of the procurement.
- Ensure that procured stocks are received, registered, and dispatched in an efficient and accountable manner.
- Maintain control and accountability of all stock, monitoring storage, request and issuance as required.
- Conduct physical stock checks periodically and investigate discrepancies.
- Make sure that the levels of stocks are correctly recorded on the stock cards.
- Deliver goods from the stock only on reception of a request form of duly approved stock.
- Organize the manual load and the unloading of vehicles.
- Is responsible for the maintenance of the warehouse and for all the equipment.
- Responsible to make order for items at warehouse when needed.
- Ensure the maintenance of MAG office and expatriates houses (electricity, plumbing,..)
- Do the inventory of all detectors and report to the Logistics Manager.
- Update inventory of critical equipment.
- Ensure that the filing system to record and archive all stock movements is rigorously maintained.
- Ensure that MAG's policies are adhered to
- Ensure fleet requirements for the programme are met.
- Ensure safe operation of the fleet through driver selection and training, quality maintenance to include routine checks and regular service and establishing / enforcing local fleet operating procedures.
- Ensure appropriate use of the vehicle by all staff (e.g. use of seatbelts, adherence to speed limits, vehicle booking process and movement monitoring system)
- Report monthly on fleet management as required
- Ensure appropriate provision of servicing facilities and management of spare parts.
IT Responsibilities
- Software support: (setting up - users- accounts - win 10 pro).
- Hardware Support: internet knowledge (WIFI Routers) - Printers setting up - installing peripherals to PCs (Mouse - Keyboard ...).
- Provide service maintenance for computer network and server performance
General
- Work within the framework of MAG’s core values.
- Act as an ambassador for MAG, promoting its ethos and mission statement.
- Ensure all staff are made aware of wider programme issues, developments and achievements within MAG.
- Work as part of a team and liaise with other programmes/HQ to ensure effective communications across the organisation.
- Contribute to other fundraising initiatives where appropriate.
- Adhere to all MAG policies and procedures.
- Participate in meetings, networks, seminars and conferences where relevant and beneficial to MAG and its mission and mandate. Where requested, give appropriate presentations in co-ordination with CPM/Head of Operations.
- Work in compliance with MAG’s equal opportunities policy.
- Undertake and apply learning from appropriate training and development programmes.
- Ensure confidentiality of information as required by MAG policies and procedures.
- Undertake any other duties appropriate to the post as may be required.
- Understand and uphold the standards outlined in MAG’s Safeguarding Framework, acting with due care and attention to safeguard the wellbeing of anyone that comes into contact with MAG’s work and reporting concerns if they do arise
