Background
DAI seeks Administrative Officer Candidates for the USAID-funded “Lebanon Water Project” (LWP) a five-year project awarded in September 2015 and scheduled to end in March 2021. LWP works to increase reliable and sustainable access to potable water for Lebanese citizens; improve water management practices and enhance the efficiency and sustainability of public water utilities, while raising awareness on sustainable water use practices and promote better water governance to help assure long-term protection of Lebanon’s water resources.
General Objective
The Administrative Officer will work with the Operations & Compliance Manager to ensure smooth administrative operations on LWP and provide support for matters related to operations, facilities, domestic travel, and inventory. The Administrative Officer will report to LWP Operations and Compliance Manager.
Responsibilities
- Support daily administrative operations of the project, including facilities, logistics, security, record and file management.
- Interface as appropriate with parties passing through or using the project office.
- Track leave for all employees.
- Review timesheets, make sure they are completed correctly, and submitted on time.
- Collect necessary documentation and maintain complete TAMIS records and current files for each employee.
- Coordinate and track NSSF medical claims with local auditing firm.
- Provide new employee orientations.
- Support registration of employees with appropriate government agency and ensure that proper income taxes and social charges are withheld.
- Maintain and manage petty cash account.
- Assist staff in preparation for meeting, conferences, workshops, and training sessions.
- Make travel/logistics arrangements and coordinate project travel schedule.
- Maintain relationships with office building management.
- Maintain relationships with vendors or suppliers who provide administrative and/or operational project support.
- Follow-up on the maintenance and procurement of all computer equipment, office furniture, and office supplies.
- Review vehicles fueling and maintenance records and endure that they are well organized, maintained and updated on TAMIS.
- Update project assets/inventory of all project property and perform reconciliations of such assets with the finance unit.
- Perform screening and vetting of project partners and beneficiaries and maintain the appropriate record.
- Assist in coordinating transmission and receipt of items that may require customs clearance and other regulatory offices.
- Other tasks as assigned.
Qualifications
- Bachelor’s Degree in Business Administration or related field, or equivalent relevant experience required.
- 2 years of work experience in office administration, preferably on a donor-funded project.
- Excellent analytical and organizational skills.
- Excellent English and Arabic communication skills including written communications.
- Computer literate with e-mail, word processing, and spreadsheet experience.
