Training Coordinator/Administrative Assistant, USAID BALADI CAP, Beirut, Lebanon

Project Summary:

Building Alliances for Local Advancement, Development and Investment – Capacity Building (BALADI CAP) is a 7+ year, USAID-funded program which aims to build the capacity of selected civil society organizations (CSOs) to manage and implement grants, foster increased citizen engagement with policy-makers and parliamentary committees, as well as support the continued development of 3 issue-based CSO advocacy networks and targeted advocacy initiatives on selected priority topics, in collaboration and partnership with selected local partners and governmental entities.

Position Summary:

The responsibilities of the Training Coordinator/ Administrative Assistant will include the following:

 

As a Training Coordinator:

 

Coordinate and schedule trainings, field visits and on-the-job coaching and mentoring to program beneficiaries;

Manage and coordinate with car service providers and staff drivers for field visits;

Send out invitations for trainings and other project activities and follow-up on attendance;

Arrange logistics for training activities including venue booking, catering and transportation;

Procure all necessary materials and supplies for training programs and events;

Ensure proper branding and marking of all training materials and venues;

Ensure that training venues and equipment are prepared and ready for the trainer to use, and provide any printing, copying and materials needed;

Maintain and update an expert consultant database with potential trainers and experts in all fields of relevant expertise to program activities;

Maintain an up-to-date database of contact information for all individuals involved in the program;

Report back to the relevant trainers on the results of training evaluations;

Collaborate with and assist the Communications Specialist in obtaining training impact and “success stories” and photos of training workshops/events.

 

As an Administrative Assistant:

 

Prepare and send correspondence, log and sort incoming deliveries and letters;

Maintain and update the office asset/inventory registry;

Undertake annual verification of asset/inventory stocks; 

Receive visitors and phone calls to the office and route them accordingly;

Coordinate and maintain log books for all drivers and services;

Supervise the project drivers on their field trips and project vehicle maintenance;

Ensure smooth functioning of the program office, including tracking and ordering supplies, ensuring a clean and safe working environment, uninterrupted communication and IT services and storage;

Attend staff meetings and take minutes of meetings;

Ensure all office equipment are maintained and repaired in a timely manner;

Handle petty cash and prepare payment vouchers.

 

Qualifications:

Bachelor’s Degree in a related field;

2 years of relevant experience in administrative and office work, logistics, and/or providing administrative support to training programs or other activities;

Fluency in both Arabic and English (French is a plus, but not necessary);

Strong computer skills, specifically in Microsoft Excel and Microsoft Word;

Experience on USAID-funded projects preferred.
