Admin & HR Assistant

ABAAD PURPOSE:

ABAAD aims at achieving gender equality as an essential condition to sustainable social and economic development in the MENA region. ABAAD has a proven record in working in addressing GBV in emergency settings. “Ending Gender-Based Violence: towards standardization and strengthening quality of services and direct response” is an initiative aiming at reducing the risks of Gender-Based Violence (GBV) through women, boys and girls empowerment and improving the quality of multi-sectorial assistance for women and girls survivors or at risk of GBV among the host and Syrian refugee population.

JOB PURPOSE:

The Admin & HR Assistant will be responsible in supporting various administrative duties to ensure office processes run smoothly. Answering incoming calls and making sure calls are transferred to the correct department/employee. Ensure documentation of incoming calls & visitors in the visitors log book. REPORTING LINES: Post holder reports to: ABAAD Deputy Director

KEY RESPONSIBILITIES:

  1. Front desk management
  2. Answer Central phone
  3. Track/Update call log template on daily basis
  4. Documentation of daily visitors
  5. maintain office supplies in coordination with Logistics
  6. Ensure offices are kept clean, and organized and running efficiently
  7. Contact candidates for phone interview and schedule interviews
  8. Other: Respect for ABAAD Code of Conduct and its PSEA Policy
  9. Other duties as assigned by ABAAD Deputy Director

 

SKILLS AND COMPETENCIES:

  • Bachelor Degree in Business Administration
  • Two years of experience in Administration and Human Resources Department
  • Understanding relevant legislation, policies and procedures
  • Strong communication and interpersonal skills
  • Commitment to human rights, gender equality, non-discrimination.
  • Flexible pro-active attitude
  • Ability to work under presser, as individual and in a team
  • Ability to work across socio-cultural and religious contexts
  • Belief in ABAAD’s mission and vision
  • Languages: Fluency in spoken and written Arabic, clear and concise reporting in English is strongly preferred. French is a plus
  • Must be computer literate, including Microsoft Word and Excel.. Must be organized
  • Have good communication skills and negotiation skills.
  • To be able to work under pressure
  • Abide be ABAAD’s policies and procedures and code of conduct
