Reporting Officer

INTERSOS is a non-profit humanitarian aid organisation that works to bring assistance to people in danger, victims of natural disasters and armed conflicts. Established in 1992 with support from the Italian Federation of Trade Unions, its actions are based on the values of solidarity, justice, human dignity, equal rights and opportunities for all people and respect for diversity and coexistence, paying particular attention to the most vulnerable and the unprotected.

INTERSOS identifies with the core values of CONCORD, the European Confederation of NGOs; it adheres to international codes of conduct for humanitarian organisations and the values and principles expressed within those codes. INTERSOS is recognised by the Italian Ministry for Foreign Affairs, the European Commission and the principal UN agencies; it is privileged to hold an advisory status with the United Nations Economic and Social Council (ECOSOC).
INTERSOS is an independent association which, through its own humanitarian operators, intervenes to effectively answer the needs of people in serious crises situations, mainly in the world's poorest regions, who are suffering, deprived of rights, dignity and essentials goods. It maintains a flexible operating structure. The head office in Italy coordinates, supports and monitors the planned activities in the countries of intervention carried out by decentralised offices.

 

Job Purpose:

The Reporting Officer is responsible for reporting, processing and analysing qualitative and quantitative data of the activities implemented by INTERSOS in North, and supporting the management in monitoring and evaluation related tasks.

 

Generic Duties:

  1. Maintain accurate databases by monitoring and reviewing regular sources of information
  2. Update internal and external databases on a weekly and monthly basis.
  3.  Aggregate and process all internal and external qualitative and quantitative data for reports on a weekly, monthly and quarterly basis
  4. Support in the development of monitoring and evaluating tools and in their analysis
  5. Deliver trainings to field staff on reporting and analysis skills and MEAL related topics
  6. Be available to participate in sectorial meetings and trainings organized by INTERSOS or external stakeholders.
  7. Supporting auditing exercises when needed and as requested by management.
  8. Accomplish additional tasks as requested by Line manager

 

Monitoring and Reporting

  1. Provide daily, weekly, monthly and quarterly quantitative and qualitative updates on the base of the tools adopted.
  2. Ensure the effective adoption of internal and external monitoring systems 

 

Specific Duties:

(It can be adapted to the particularities of the job location and the requirement of the project. This section shall be revised whenever a new employee is hired).

  1. Produce qualitative and quantitative monthly and quarterly reports.
  2. Develop qualitative and quantitative monitoring tools in line with donors requests for internal and external use
  3. Contribute to the preparation and the revision of data and M&E reports related to field activities (monthly/quarterly donor reports and other ad hoc reports).
  4. Assist and support the MEAL Coordinator in designing and coordinating baselines, evaluations on project(s) level(s)
  5. Update the directory of services and list of activities provided and implemented by INTERSOS on the base of inputs provided by field staff for internal and external use.
  6. Comply with donors’ monitoring requirement adopting ad hoc monitoring tools, systems and databases (ex. Activity Info, Internal Reporting System, Refugee Assistance Information System –RAIS)
  7. Be the focal point for collecting and processing data received from field staff ensuring qualitative and quantitative consistency.
  8. Attend trainings provided internally or externally in accordance with donor and INTERSOS requirements
  9. Conducting trainings and support field visits on a regular basis, and build staff capacity building on the use of internal and external tools
  10. Support field staff in presenting processed data.
  11. Preparing qualitative and quantitative reports along with project staff, analysing and evaluating data received from field staff
  12. Prepare ad hoc documentation on implementation and progress of activities against targets
  13. Support in responding to periodic donor and internal requests for additional information on activity performance and results
  14. Participating in sectorial meetings representing INTERSOS as needed
  15. Liaise with colleagues in charge of reporting, monitoring, evaluation and quality, country-wide, for sharing information, knowledge
  16. Help in identifying articles success stories, across the North on best practices project (s) for evidence gathering so they are suitable for external audiences, and usable for INTERSOS’ visibility. Be available to take part in meetings organized at INTERSOS office or in other offices as per management requests.
  17. Assist and support the information management and coordinate the accomplishments of handled tasks.
  18. Handle the North complaint mechanism, including the complaint hotline and complaint boxes, with support from Quality team
