Administrator

The main duties and responsibilities are:

  • Liaise with executive and senior administrative to handle requests and queries from MSL managers;
  • Develop and maintain a filing system (classification and archiving);
  • Supervise and maintain an updated contact list with the secretary in Badaro’s headquarters; 
  • Maintain and update supplies/ equipment inventory and assume responsibility for office supplies in Badaro’s headquarters;
  • Generate memos, emails and reports when appropriate, ensuring that deadlines are met, and work is completely correct;
  • Organize and follow up (expiry dates, renewals etc.)  on current contracts (maintenance, insurance, projects etc.);
  • Take in charge the data backup on the server;
  • Take in charge official procedures related to grant management and projects with MoI (yearly), MoJ, MoSA, MoPH, and NGOs;
  • Archive communication material no longer needed;
  • Develop and update administrative systems to make them more efficient and resolve administrative problems;
  • Help in the recruitment process with The HR manager;
  • Draft employment contracts upon the requests of the HR manager;
  • Draft different contracts and agreements upon the request of the Executive Management team (Executive Director, Financial Manager etc.);
  • Coordinate with the IT to fulfil necessary technology requirements of new hires including, not limited to laptop, mail, and access rights;
  • Present induction and onboarding sessions for new joiners at Badaro’s headquarter to facilitate integration in MS culture, management, working environment and policies;
  • Skill and Knowledge of office management systems and procedures;

The KSA of the position are:

  • Bachelor in business management, management information systems, HR, law , or related field;
  • Outstanding organizational skills with the ability to multi-tasks;
  • Experience in HR field and / or law firm is highly recommended;
  • Excellent communication skills trilangual (written and verbal);
  • Excellent time-management skills;
  • Details oriented;
  • Proficiency in MS Office (MS Excel and MS PowerPoint in particular);
  • Reporting and problem-solving skills;
  • Self-confidence and honesty;
  • Ability to wok under pressure;
  • Accuracy and transparency;
  • Flexibility in dealing with others;
  • Confidentiality of information;
