HR Admin officer - MSF Lebanon Branch Office

Doctors Without Borders/Médecins Sans Frontières (MSF) is an international humanitarian organization that delivers impartial medical care to people affected by conflict, epidemics, disasters, or exclusion from health care in over 70 countries.

 

MSF has been working continuously in Lebanon since 2008. Today our operational teams work all over the country delivering quality,  free of charge medical care to those who need it.

 

MSF Lebanon Branch office is part of the MSF international movement. Our team is composed of 20 full time employees based in Beirut and Cairo working together in the areas of international field recruitment, communications and medical operational support.

 

From Lebanon and Egypt, we work regionally and contribute globally to MSF’s medical humanitarian response.

The HR Administration officer is a key member of the HR-department of MSF LB and is responsible for the implementation of HR administration policies for MSF Lebanon Branch office employees.

 

  • Prepares employment contracts as well as termination formalities and any formalities related to staff leaves with legal requirements
  • Prepares monthly payroll for office employees
  • Ensures collection of documentation for work permit applications, NSSF registration, insurances, and others regarding office employees.
  • Assists in recruitment related administrative activities for Office staff.
  • Ensures integrity of HR data and archiving in full compliance of data privacy laws
  • Is the focal point for local labor law related issues and keeps updated on regulation changes.
  • Prepares per diems, update and send “Welcome” information to all visitors and follow up on visa requirements
  • Supports the Head of HR on the onboarding and offboarding processes of new offices employees & volunteers /detached employees.
  • Ensures the administrative support and information for MSF Lebanon employees going to trainings, meetings, etc outside from Lebanon.
  • Assists the Head of HR in the elaboration and update of all HR policies and Employee Handbook
  • Is the focal point for administration related queries for office staff and detached staff.
  • Is the focal point with OC administration units for proper implementation and follow up of administrative regulation and terms of employment for detached staff.
  • Make all administrative information available to the staff (posting, meetings, etc.)
  • Organize internal and external trainings and meetings, venue bookings and hotel accommodations.
  • Participates to qualitative appraisal and development planning processes.
  • Supports the Head of HR by being able to work autonomously on key files
  • Follows up with MSF Egypt mission to support follow up of HR-Admin issues linked to Cairo office
