DRR Data Management and Reporting Officer

Main Role

The Data Management and Reporting Officer is in charge of overseeing and managing the processes of data acquisition, validation, analysis and storage. In addition, the officer is in charge of generating timely reports to relevant donors and stakeholders showcasing the DRR interventions and the progress achievements in accordance to various reporting requirements.

Essential Roles and Responsibilities

Data Management:

  1. Data Acquisition:
  • Ensure that the paper-based data are properly filled according to projects requirements.
  • Ensure that DRR activities are accurately reported on the relevant systems within the respective deadlines.
  • Create databases for DRR Unit and update them regularly.
  • Provide day-to-day support, coordination and mentoring for volunteers on data entry.
  • Ensure confidentiality of the collected data.

 

  1. Data Validation:
  • Ensure that the collected data is accurate and of high quality through regular and random cross checking and data cleaning processes.
  • Trouble shoot any data inaccuracy, inconsistency, and errors through coordinating with the relevant personnel.
  • Report any inaccuracies of the data entered into the system and take action to limit the percentage of error.
  • In coordination with PMER Coordinator, suggest and implement improvements to data management processes in order to increase accuracy and simplify the process.

 

  1. Data Analysis and visualization:
  • Generate comprehensive data for reporting on key variables (location, nationality, gender, age…).
  • Provide relevant analysis of the collected data and produce information on project’s output as relevant.
  • Support the GIS Officer in the analysis of data and provide recommendations to improve the interventions.
  • Support the GIS Officer in the visualization of relevant data using GIS and Power BI.

 

  1. Data Storage:
  • Ensure that data is being properly archived is both hard and soft copies.
  • Index, catalogue and organize archiving materials.
  • Maintain the archiving system accessible to the DRR team and ensure regular back-ups.
  • Establish proper archiving systems when relevant.
  • Create and mainstream SOPs for data management, storage and quality assurance.

 

Reporting:

  • Contribute in establishing monthly, quarterly, mid-year and annual reports to relevant stakeholders and donors in accordance with the Unit’s requirements.
  • Support in designing various reporting tools and templates.
  • Prepare, update and develop various documents, presentations and reporting tools.
  • Provide feedback to DRR team on reporting bottlenecks.

 

Function Specific Experience

  • Experience in social/ health programs: needs assessment, awareness raising, community based-approach
  • Experience in data management
  • Experience in working with teams and working under pressure
  • Previous experience as an LRC volunteer is an asset
  • Experience in Project Cycle Management is an asset
  • Report writing skills
  • Excellent knowledge of Microsoft Office package, in particular Excel
  • Knowledge of Arc GIS is a plus
