In response to the influx of Syrian refugees in Lebanon, the IRC has launched a multi-sectorial relief program in Lebanon. The program will provide assistance to refugees and host communities in Mount Lebanon, North Region, and Bekaa Valley.
Job Overview/Summary:
The HR assistant assists the Senior HR Field Officer - North in an effective manner through progressive HR Management (HRM)
The HR Assistant is responsible to promote quantitative aspects of HRM.
She/he is in charge of all administrative issues for national staff in the North Region.
Major Responsibilities:
- Assist the Senior HR field Officer in applying IRC HR policies and procedures.
- On boarding of new IRC employee and Service providers, as the HR Assistant will be the first focal point for new joiners.
- Raise purchase requests and prepare payment requests and follow-up on their approval by liaising with Finance and the Supply Chain Department
- Ensure that personal files of all staff are administrated with appropriate quality.
- Be responsible for the logistical arrangements of meetings, workshops and other events.
- Prepare meetings and workshops materials.
- Draft agendas take minutes at meetings and workshops and maintain attendance sheets.
- Type correspondence, reports and other documents, requested by the Senior HR Field Officer – North in English and Arabic
- Prepare all necessary documentation and make all arrangements for movements and missions.
- Prepare payments for Service providers and consultants working with the IRC officer in the North.
- Track, follow up, and collect time sheets.
- Check time sheets allocations on a monthly basis and share them on BOX for auditing purpose.
- Maintain a monthly tracking system for all IRC staff leave balances.
- Maintain and update the HR electronic and hard filing system
- Maintain the confidentiality of all sensitive HR information at all times.
- Show flexibility is supporting other field offices as needed.
- Up to 50% mobility between North Offices – Tripoli and Akkar
- Report to Senior HR Field Officer – North Region all relevant information on HR situations.
- Prepare certificates and other HR documents when needed.
- Any other tasks or responsibilities assigned by the Senior HR Field Officer – North Region.

Job Requirements:
- University Degree, preferably in management, human resources, administration or related fields.
- Minimum of 2-3 years of professional experience in Administration/Office Management
- Strong ability to work independently, organize work, meet deadlines, maintain composure, prioritize work under pressure, coordinate multiple tasks and maintain attention to detail
- Strong sense of personal integrity.
- Previous experience with Administration and/or previous INGO experience are an advantage.
- Personal qualities: Works well in and promotes teamwork, comfortable in a multi-cultural environment, flexible and able to handle pressure well.
- Fluency in Arabic and English, both written and oral
