Grants & Reporting Officer at Embrace (NGO)

Main Activities:

  • Analyzing and synthesizing data
  • Monitoring and ensuring accuracy of data collection
  • Tracking project timelines and deliverables
  • Liaising between accounting department and other departments for updated actual figures on monthly expenditures
  • Serving as key contributor for allocation of expenses to their appropriate fields, and confirming data integrity with ensuring accuracy of information included to maintain precise bookkeeping.
  • Coordinating and compiling data for donor reports by gathering all necessary information from relevant departments to complete donor reports
  • Preparing monthly budget versus actual and spending tracking reports
  • Reviewing and analyzing budget vs actual spending of projects and grants with raising flags for any overspending potential
  • Ensuring timely submission of grant and donor reports
  • Maintaining online folder documents uploads of invoices, slips and receipts to ensure all relevant documents of reports are correctly uploaded to their appropriate location
  • Confirming uploaded documents are applicable with all compliance needs and enclose needed certifications
  • Developing master file to track project durations, lifetime of grants and global donor database (existing and future)
  • Assisting Director with drafting of sub agreements and amendments (writing, reviewing, editing, translation, admin duties)
  • Supporting in reporting project finances (budgets and procurement) – with the completion of administrative tasks as needed to fulfill reporting requirements set by donors  
  • Engaging with donors as required for inquires, follow up and reporting 
  • Revising of research opportunities to vet potential applications
  • Supporting in drafting project proposals for application
  • Tracking grant application processes and outcomes   

Qualifications:

1. Critical Skills

  • Proficient in MS Excel and reporting models (Excel functions, PivotTables, data collection and consolidation, mapping of data)
  • Strong knowledge in official documental procedures (compliance aspect) and proper know-how of allocations
  • Knowledge in strategic planning and performance measurement, including indicator selection, target setting, reporting, database management, and developing tracking reports
  • Budgeting and accounting experience
  • Knowledge of MS Dynamics
  • Experience in using data visualization tools
  • Strong writing skills
  • Language Fluency in Arabic and English
