Grants Partnership Management:
- Act as a focal point between RI and the external partner for all aspects of grants management and reporting.
- Draft sub agreements and amendments with partners in accordance with RI and donor regulations in coordination with RI’s Regional Program Award Management focal point, and under the guidance of the Grants Manager.
- Ensure the partner understands necessary donor and RI requirements throughout the lifetime of the grant.
- Ensure the partner duly follows RI’s policies and procedures for the project duration, upholding RI’s key policies and principles as a humanitarian organisation. The Partnership Coordinator will remain available and responsive to address all questions and provide/facilitate the multi-departmental support required by the partner.
- Support the Grants Manager in gathering all necessary information to complete donor reports, required on a monthly basis.
- The partnership Coordinator will facilitate a thorough organisational capacity assessment (OCA) of the partner by a multi-disciplinary team from multiple departments, after which they will compile the results analysis, to produce a report and provide guidance, timelines, and workplan to ensure implementation to address the findings in the OCA is followed and addressed, providing assistance and conducting office visits as necessary.
- Plan and prepare for training implementation on different topics (assessed in the OCA) while taking into consideration the learning cycle of adult learners of different backgrounds and roles;
- Lead on the design and implementation of workshops and capacity building sessions of internal or external trainings included in the partner’s capacity strengthening plan.
- Provide full reports on the training outcome, staff capacity, and additional training needs (i.e. training evaluation reports), including analysis from pre & post-test and training evaluation;
Assist with financial checks and follow-up or payments, facilitating and conducting office visits and assistance as necessary. - Contribute to oversight of implementation of program and operational activities of the partner in alignment with the agreed work plan, sub grant agreements, and donor requirements to ensure accurate fulfilment of the grant by the partner.
- In coordination with the Finance Team, follow up with the partner on financial management issues, including spenddown planning, financial reporting, documentation, etc.
- Coordinate with the Finance Team to ensure payments to partners are executed on time.
- Coordinate with the HR department to assist with the necessary measures to strengthen the partner’s HR processes and practices throughout the organisation.
- Coordinate with the MEAL department to assist the partner with correct data collection, disaggregation, storage and analysis, as well as other MEAL tasks.
- Coordinate with the program team to assist the partner to fully engage with strong programing and build their capacity across the program cycle.
- Coordinate with the Operations Team to ensure procurement processes are correctly implemented and provide assistance and guidance with operations to the partner as necessary.
- Conduct frequent partner meetings, including mobilization and regularly scheduled operational meetings to ensure support to the partner as well as ensuring RI’s compliance to the requirements of the donor.
- Ensure an adequate attendance and active participation in all Staff Care trainings as requested by the Organization and Country office.
