HR - Admin Assistant (Beirut) - National Candidates Only

Job Overview/Summary:
The HR Assistant assists the HR team in Beirut in an effective and progressive HR management. She/he is in charge of all administrative issues for national staff.

 

Major Responsibilities:

  • Assist in applying IRC HR policies and procedures.
  • Support the HR team in Beirut in the below tasks:

1- Maintain and update the HR filing system
2- Follow up and collection of Timesheets and is responsible of tracking and reviewing them
3- Follow up on Timesheet’s correction, when needed
4- Responsible of receiving the insurance checks, dividing them and sending them to the HR focal points in the fields
5- Assist in entering data to the system for new joiners
6- Copy and follow up on NSSF and income tax documents before and after declaration
7- Support in filling the yearly NSSF declaration (once per year)
8- Scanning for PA insurance policies.
9- Support in updating the employee self-service software (opening/closing profiles)

  • Maintain the confidentiality of all sensitive HR information at all times

Position Reports to: Senior HR Officer, Rewards
Position supervises: N/A
Other Internal and/or external contacts:

  • Internal: Field HR Senior Officers, Field HR Officer, Finance department, Supply Chain department, IRC programs
  • External: N/A

 

Requirements:

  • 1-2 years of professional experience in Office Administration or Office Management.
  • Strong ability to work independently, meet deadlines, prioritize work under pressure, coordinate multiple tasks and maintain attention to details
  • Strong sense of personal integrity
  • Excellent organizational skills, flexibility, and integrity
  • Previous experience with Administration and/or previous INGO experience are an advantage
  • Personal qualities: Works well in and promotes teamwork, comfortable in a multi-cultural environment.
  • Excellent interpersonal and communication skills, both verbally and in writing.

 

Working Environment:
The position will be based in Beirut with regular office environment.
