Schedule and Document Controller

Through INARA, USAID seeks to increase the supply of electricity generation at the community level and to increase the cost-effectiveness, eco-friendliness, sustainability, and reliability of power supply, while clarifying and strengthening the enabling environment for renewable energy-based electrical power generation.

The project will run for 5 years and started in September 2021. The position is based in Beirut, Lebanon. This position will start on November 8, 2021 as a consultancy contract, and then shift to a full-time employee contract after a trial period contingent on performance and USAID approval.

Role and Responsibilities

Overview summary statement of position. The Schedule and Document Controller will report to the COP Schedule and Document Controller

The position is responsible for the following:

  • Providing and/or overseeing critical path method scheduling for construction projects.
  • Developing schedules for estimates and current projects.
  • Preform company scheduling procedures and reporting.
  • Coordination with project teams to assess reporting and identify risk and create accurate forecasts.
  • Providing scheduling analysis for delays and impacts to identify and mitigate project risk
  • Establishing a process for managing and keeping track of important project documents like project plans, blueprints, vendor contracts and designs;
  • Creating reports for construction managers;
  • Creating a maintaining a document control system.
  • Keeping documentation safe and backed up;
  • Performing data entry tasks when project documents need updates;
  • Printing out and distributing project documents to managers, vendors and team members;
  • Converting paper documents to an electronic format, scanning and uploading documents according to IMC’s procedure
  • Keeping other personnel updated on new document versions and how to obtain access
  • Handling records across various staff and teams
  • Maintaining confidentiality regarding sensitive documents
  • Establishing and maintain record retention timelines

 

Required Qualifications

  • Undergraduate degree in Engineering, Construction Management or related degree
  • Ability to read and interpret construction drawings and specifications
  • Working knowledge of scheduling software such as Primavera and/or Microsoft Project.
  • Working knowledge of computers and experience with Microsoft Word and Excel
  • Strong written and verbal communications skills
  • Experience working with many types of files and construction documents
  • Experience working on infrastructure/construction programs preferred
  • Ability to organize and preserve paper documents
  • Thorough knowledge of various kinds of office software
  • Attention to detail
  • Effective communication coworkers across departments
  • Ability to multitask
  • Strong organizational abilities and experience establishing systems
  • Strong computer skills
  • Strong communication skills
