Supply Chain & Grants Assistant

PROJECT OVERVIEW

ECODIT is implementing the USAID-funded Lebanon Diverting Waste by Encouraging Reuse and Recycling (DAWERR) Activity (the Project), a five-year project that will establish sustainable and replicable integrated solid waste diversion and valorization solutions in different rural areas in Lebanon, leading to improved social and economic well-being for Lebanon’s population.  Working concomitantly with municipalities, local communities and the private sector, the Project will (1) develop sustainable composting value chains for organic waste, and strengthen existing recycling value chains (RVCs) for inert recyclable materials in select municipalities serving as pilots initially, and then support replication by other municipalities across Lebanon building on lessons learned from the pilots; and (2) implement integrated Solid Waste Management (SWM) solutions for unions or clusters of municipalities.

 

DUTIES & RESPONSIBILITIES

Under the overall management of the Supply Chain (SC) & Grants Specialist, the supply chain assistant will:

  • Assist the project team with day-to-day logistical needs, including organizing and conducting site visits, and scheduling meetings with stakeholders.
  • Support the preparation, organization and execution of workshops and events.
  • Provide support to national and international consultants to assist them in their respective technical assignments (e.g., Facilitation and information access) as needed.
  • Validate drivers’ logbooks, including a record of mileage driven, fuel consumed, and servicing done.
  • Prepare and execute repetitive orders (e.g., office stationery & consumables, catering for workshops & meetings etc.)
  • Follow up on delivery of goods and ensure that services and products delivered are up to the quality level required.
  • Ensure timely and complete vetting of vendors and subcontractors. 
  • Ensure assets list is updated.
  • Ensure suppliers database is updated.
  • Conduct market and supplier survey on regular basis.
  • Review and consolidate documents necessary to launch any type of procurements including through Request for Quotations (RFQ), Request for Proposals (RFP), etc.
  • Assist in the preparation of Purchase Orders, Blanket Purchase Orders, Grant Agreements, and other types of agreements/contracts.
  • Follow-up on the orders related to the blanket purchase orders.
  • Conduct visits as/if needed to suppliers to verify the quality of the proposed goods, products, etc. before purchase;
  • Ensure proper filing and archiving of supply chain documentations; and
  •  Coordinate regularly between supply and technical team members.

 

Qualifications

  • Bachelor’s degree in Business Administration, Logistics, or any other related field.
  • Minimum of 2 years’ experience in procurement and logistics, NGO experience is added value.
  • Good knowledge of procurement standards; knowledge in USAID regulations is a plus.
  • Good knowledge of Microsoft office.
