Operations clerk - FAP

  1. Provide clerical assistance in the day-to-day running of FAP and assist in routine logistical/administrative support including safe and efficient transport of visa application files and bio-data from the FAP office to the German Embassy.
  2. Immediately informing the FAP National Project Officer of any problems, changes, or complications encountered during the operations and report any issue with security personnel.
  1. Assist migrants in the completion of the VIDEX online application form as per checklists and conduct completeness checks on all documentation before their visa appointment.
  1. Maintain high degree of skills in using IOM internal software platforms; enter required applicant data, lodge application documents.
  1. Provide migrants with accurate information in a timely manner. This will include distributing information sheets, and visa requirement checklists; assisting with telephone inquiries from clients (including requirements for submitting visa applications); and informing clients of any changes to visa requirements or submission procedures.
  1. Queuing system: ensure queuing system for applicants coming to FAP is followed and operated effectively.
  1. Maintain a positive working relationship with staff members within the FAP, with the German Embassy staff locally and with external counterparts involved with the processing of this caseload.
  1. Maintain a professional appearance and always migrant-friendly demeanor; always provide excellent customer service to applicants, in full compliance with the Service Standards.
  1. Maintain confidentiality of all FAP-related matters, in accordance with guidelines and instructions.
  1. Perform any other duties as may be assigned.

University degree or equivalent in Business Management, Customer Service, Social Science or related discipline preferred; or an equivalent combination of education, training & experience;

• Minimum 3 years of relevant professional experience in a similar setting & capacity preferred; Demonstrated ability to maintain accuracy & confidentiality in performing responsibilities.
• Demonstrated proficiency with Microsoft Office applications, including Excel, PowerPoint and good knowledge of information technology.
• Previous work experience in international organizations and service industry companies would be an advantage.
• Strong interpersonal & intercultural skills with an attention to detail.
