Main tasks
Administration & Finance management
- Prepare & follow-up on the yearly budget of the organization, and its presentation to the board on regular basis (3 to 4 times a year);
- Set the financial strategy for the coming 3 years and design the master plan accordingly
- Track the budgets and ensure the financial control of the on-going activities (budget versus actual)
- Produce financial reporting as per donors’ requirements
- Is responsible for all administrative and financial operations (accounting data entry, bank and suppliers’ reconciliations, cash flow management, payrolls, contracts with suppliers and consultants, procurement, etc.)
- Is responsible for the monthly accounting of all projects and the reconciliation with bank statements
- Control the payments and their allocations on a weekly basis
- Ensure opening and closing of cashboxes as per the admin guidelines and budget lines
- Ensure all proper financial procedures and internal guidelines are correctly implemented i.e., the compliance with the association and donor agencies procedures
- Supervise the official declarations (NSSF, R10, etc.) and the annual declaration to the Ministry of Interior and Ministry of Financial including the forecast annual budget
- Coordinate with the external auditors with regards to audit of annual financial statements and other certifications
- Ensure that the filing and archiving of administrative and financial documents is implemented on a regular basis (hard & soft copies)
Administrative and financial guidelines, procedures and tools
- Ensure all proper financial procedures and internal guidelines are correctly implemented i.e., the compliance with the procedures of the association and donors’
- Evaluate the compliance procedures of the organization and suggest modifications accordingly
- Update the administrative and financial guidelines & procedures for management, monitoring and reconciliation
- Design & update the administrative and financial tools such as procurement, monitoring, reconciliation etc.
Donors’ relation
- Maintain an overview of all grants, donor requirements, rules & regulations, and internal and external deadlines
- Develop new project budgets in close collaboration with the Development and Monitoring Manager and the Executive Manager
- Support external donor audits
Provide technical support to Zoukak collaborators
- Supervise the assessment of collaborators’ administrative & financial needs and define conjointly the adequate action plan and strategy
- Provide and coordinate ad-hoc support (budget preparation, training on the guidelines and tools, legal and admin aspects etc.)
Qualifications and requirements
- Several years of experience in a financial and admin role within the NGO field or similar
- Ability to develop manuals and financial procedures
- Ability to produce easy to read procedures for employees and consultants
- Proficiency in Microsoft word, excel, and PowerPoint
- Proficiency in accounting software (PIMS is an asset)
- Verbal and written proficiency in English

Remuneration
This is a senior position and the salary will reflect this seniority. It will be disclosed in due time during the hiring process; noting that based on the profile/availability it can be a full time or part time position.
