Procurement Logistics Assistant- Beirut

Role

The Procurement & Logistics Assistant is responsible for all procurement and logistics related activities in support of the location/office where s/he is based. The ProLog Assistant ensures all DCA, donor policies and procedures are followed and adhered to at all times

Responsibilities

  • Responsible for all stock management including technical, non-technical field equipment, consumables and all other stock items in required location and recording on individual Stock Cards in Admind.
  • Responsible for appropriate storage of technical, non-technical equipment and all other stock items.
  • Responsible for all documentation and ensures that all records are up to date and appropriately filed.
  • Monitor stocks and be responsible to ensure they are maintained and do not fall below a minimum level.
  • Responsible for procuring items as listed on the Procurement Plans for all new grants.
  • Responsible for vehicle fleet, including planning of regular maintenance, repairs registration and yearly MOT (Ministry of Transport) checks.
  • Responsible for the management of all vehicles parts and consumables by recording on Stock Cards in Admind and on individual Vehicle spreadsheets in Admind.
  • Responsible for the fuel management, of all DCA vehicles and recording on individual Vehicle spreadsheets in Admind.
  • Responsible that vehicles and equipment handed out to staff are signed for and the appropriate documentation updated in Admind and on Teams.
  • Responsible for updating Procurement Plans and all Donor Files and copies of all documentation to be uploaded on Teams.
  • Support operations in all logistics and procurement issues.
  • Coordinate with the SPLO concerning the movement of goods and equipment to and from the Sub Office site.
  • Support SPLO and FO with quotations from different suppliers and at a competitive price for spare parts, scheduled maintenance, and vehicle repairs
  • Other duties as instructed by the Line manager.
  • Carry out driving duties as and when required by Line manager.
  • Work within the framework of DCA’s core values.
  • Strictly follow all safety procedures.

Background

  • Minimum of 2 years' relevant working experience.
  • Fluency in English and Arabic, both written and verbal.
  • Experience with standard procurement procedures and documentation
  • Bachelor’s degree required in relevant field an advantage.
  • Applicants must have the right to work in Lebanon as well as Valid driving license.
  • Excellent interpersonal and team skills
  • Excellent IT skills
  • Commitment to and understanding of DCA’s aims, values and principles
  • All new employees should be checked in Fin Scan before issuing an employment contract
