Job Profile

 

  1. Required qualifications, competences and experience

 

Qualifications

  • BA/MSc in business management with a focus on finance, controlling, purchasing or contract management or similar area

 

Professional experience

At least 3 years’ professional experience in a comparable position

 

Other knowledge, additional competences

  • Good knowledge of the English and Arabic languages (speaking, reading and writing), German is a plus
  • Good working knowledge of ITC technologies (related software, phone fax, email, the internet) and computer applications (e.g. MS Office)

 

  1. Responsibilities

The procurement assistant support in

  • Assist in all process steps for preparing contracts of procurement of services and good
  • Prepare inquire offers from providers
  • Send documents and follow up signatures of contracts and paperless approvals from GIZ internal documents
  • Filing original documents and scan copies in DMS in line with GIZ rules and regulations

 

The junior procurement officer performs the following tasks:

  1. Purchasing, procurement of goods (Prosoft)

 

The procurement Assistant

  • Prepare according to instruction from Procurement Officer materials and equipment locally, issues invitations to tender and processes orders
  • assist projects and providers with the safe transport of goods to destination
  • maintains data relevant for procurement and tenders in ProSoft and DMS
  • assists providers regarding invoices procedures
  • assists projects in complains regarding delivery
  • file final documents in DMS in line with GIZ’s filing rules
  1. Preparation of local contracts with individuals, consulting firms and Local Subsidies (Cosoft)

 

The procurement Assistant

  • Prepares according to instruction from Procurement Officer local contracts
  • informs the Procurement Officer on time about the status of contract preparation and related matters, particularly in the event of starting delays
  • assists providers regarding invoices procedures
  • keeps contract tracking lists updated
  • file final documents in DMS in line with GIZ’s filing rules
  1. Procurement of Transportation Services, Eventmanagement, Catering, Communications Services, Rent and other (with local contract templates)

 

The procurement Assistant

  • Prepares according to instruction from Procurement Officer procurement of tickets for domestic and international travel.
  • Get offers, prepare evaluation tables and award of orders
  • assists providers regarding invoices procedures
  • file final documents in DMS in line with GIZ’s filing rules

 

  1. Other duties/additional tasks

 

  • The procurement Assistant performs other duties and tasks at the request of management
