ABOUT THE JOB:
General objective:
We are searching for an organized and detail-oriented storekeeper - purchaser to manage all of the operations in SI warehouses. In this position, you'll play a key role in the proper care and monitoring of our stock, including ordering, receiving, and managing inventory. Also supporting the supply chain department in drafting contracts and implementing procurement dossiers – and digital archiving.
The main challenges:
- Given the huge items stored with several on-going projects, the storekeeper needs to ensure close monitoring and follow-up.
- Given a large number of employees using different types of stationary and consumables, the store keeper needs to ensure a close monitoring for the consumption of items and provide analysis to the line manager.
- Managing a big number of daily workers and trucks in the store during emergency responses.
- Liaising with program teams and supply chain manager to ensure the proper linkage between program and supply as well as to use allocated resources efficiently.
Priorities for the first 2/3 months:
- Gain swiftly a proper understanding of the setup and the ongoing operations of SI in the Northern region of Lebanon.
- Establish a proper way of working and coordinating with the program team as well as with the supply chain team.
List of main tasks:
Management of storage spaces
- Supervise the team of daily workers dealing with storage activities
- Complete dispatch and receipt documents in compliance with Solidarités International standards
- Maintain updated inventory lists
- Participate in monthly stored goods inventories and reconciliation with what should be in stock
Maintenance of buildings, storage spaces, and store equipment
- Monitor the storage facilities and infrastructure both from inside and outside: locate damages and propose the necessary repairs
- Supervise cleaning and regular disinfection of storage spaces
- Ensure adequate ventilation of the spaces
- Ensure the equipment and machines used by teams are cleaned before returning to storage
- Monitor the quality of products at the time of receipt. Put aside non-compliant or infected products and report to the line manager
- Regularly monitor the quality of products during storage. Pay special attention to expiration dates
Implementation of the purchasing process:
- Receive and process requests for quotes and PLs after verification and approval by his/her line manager
- Implement purchases while respecting the rules and approval procedures established by donors and Solidarités International
- Ensure that products and services purchased correspond to the requirements in terms of quantity and quality
- Ensure that the information on quotes and invoices comply with regulations
- Ensure compliance with administrative procedures for the management of advances and payment of suppliers
- Establish and archive purchasing files by the rules of Solidarités International and its donors
- Monitor and update IOFs electronically
Knowledge and monitoring of the market:
- Take part in the analysis of the local purchasing environment
- Update price lists and supplier files
Reporting/Capitalization:
- Ensure the compilation of activity and inventory reports from the stocks
- Ensure the compilation of price lists and suppliers
- Ensure the monitoring of IOF requests
YOUR PROFILE
Education:
- Minimum high school degree or equivalent.
Experience:
- Minimum 2 years of relevant experience as storekeeper and/or procurement,
- Previous experience working in emergency and/or development context
- Previous experience working with INGO is a strong asset.
Technical skills and knowledge:
- Very good command of logistics procedures
- Computer literacy with very good command of MS Office
Soft skills and spirit:
- Ability to work autonomously
- Flexibility
- Team player
- Ability to write good emails
Languages:
- Fluent in both English and Arabic: speaking, reading, and writing.
SI WILL OFFER YOU
A salaried post: 1325 USD as a monthly basic salary
Vacation: 1.5 days/month
