Assistant, Human Resources

Job Purpose

This position is responsible for verifying and updating HR administrative processes and documents to ensure compliance with IFRC policies, HR best practices and local legislation. The post holder is required to review and update accurately all human resource files, records and documentation while maintaining the integrity and confidentiality of all human resource information.

Job Duties and Responsibilities

A. Talent Acquisition

  • Post active vacancies on IFRC career portal and all other job boards
  • Participate in the screening and handle the phone screening step when required
  • Create the technical assessment and ensure its proper documentation
  • Coordinate the logistics of the recruiting process: Scheduling interviews..
  • Conduct reference checks and background checks
  • Ensure that all recruitment documents have been received and updated on the HRIS
  • Create the new IFRC staff emails and update the contact list accordingly

B. Document Management

  • Review and ensure that all new hire documents
  • Review and update all employee files, new and existing (hard and soft copies) to ensure compliance IFRC internal audit controls and local legislation and ensure their updates on the HRIS
  • Review and update all consultant and vendor files to ensure compliance with IFRC audit controls
  • Process enrolment, changes and terminations of staff in the NSSFE
  • Ensure all other documents are filed as required

C. Employee Relations

  • Assist in the development and coordination of staff events and employee milestones
  • Assist with the tracking of the company employee wellness programs
  • Assist in market research for best practices in the industry

D. HR Project Management

  • Assist in HR project initiation, planning and implementation
  • Conduct research for HR projects

E. Training and Development

  • Update training records (hard and soft copies) for each employee
  • Update the employee training data base
  • Verify that all the mandatory and required training courses have been completed for each employee
  • Assist in the coordination of training and development activities for staff

F. HRIS

  • Assist in gathering, compiling and preparing data for HR metrics and analytics reports
  • Verify and update the accuracy of employee data in HRIS and relevant databases
  • Assist in the coordination of the HR Help desk

Education

  • Bachelor’s Degree in Human Resources or Business Management - Required

Experience

  • Minimum of 2 years of experience in a similar role - Required
  • 2 years of experience in document management - Required
  • 2 years' related administrative experience - Required
  • Experience in recruitment management - Preferred

Knowledge, Skills and Language

Knowledge and Skills 

  • Proficient in document management - Required
  • Proficient in recruitment administration - Required
  • Expert in computer literacy (Microsoft Office Suite) - Required
  • Proficient in dealing with confidential information - Required

Languages 

  • Fluently spoken and written English and Arabic - Required
  • Good command of another IFRC official language (French, Spanish) - Preferred
