  1.  Project Background

The Lebanon Community Support Program (CSP) is a multi-year project funded by USAID to support municipalities and underserved and vulnerable communities in providing better services and enhanced economic opportunities to improve lives and reduce tensions that contribute to conflict and violence, primarily in Lebanon’s North, South, and Bekaa regions.

  2.  Summary of Position

The Capacity Building Coordinator will manage logistics and provide administrative support for all events, meetings, and other capacity building trainings under CSP’s Technical Assistance Component, Task Order 3. The Capacity Building Coordinator will work closely with the Capacity Building Officers and service providers to facilitate smooth delivery of trainings and support the capacity building team by coordinating and scheduling training workshops and field visits and coordinating venue, catering, and transportation for the team members.

  3.  Specific Duties and Responsibilities

  • Support logistical preparations of Task Order 3 trainings, workshops, conferences, working groups, and project events such as arranging venues and catering services.
  • Coordinate with the Capacity Building Officers and the CSP Vetting team the receipt of all vetting documents from trainees and their transmission to responsible staff within CSP.
  • Monitor the delivery of all training activities to ensure that training needs are met and to troubleshoot issues as they arise.
  • Prepare training invitations and training schedules.  
  • Ensure that necessary printed materials and stationery are available for each training (in accordance with Chemonics procurement requirements) and that audiovisual equipment is set-up and running smoothly during the trainings.
  • Ensure that all attendance sheets and other supporting documents for trainings such as evaluation forms, consent forms, pre & posttests, etc., are properly filled out by trainees.
  • Prepare “Procurement Action Request Forms PAR” for the procurement of equipment and services related to TO3 trainings.
  • Request advance payments for trainings transportation, prepare reconciliations, and coordinate with the finance team accordingly.
  • Conduct market research to ensure accurate training budget and work with the procurement department to obtain quotations for necessary services such as venues, catering, delivery of operation and maintenance trainings, etc.
  • Receive travel requests from team members, arrange visits, and book drivers accordingly.
  • Ensure that all documentation for training components is properly saved in file according to Chemonics’ best practices and filing systems
  • Undertake other duties as assigned by the TO 3 Director, or equivalent.

  4-Qualifications

  • A bachelor’s degree is required.
  • At least five years of work experience in the relief and development sector in Lebanon on projects funded by international donors, with USAID-experience preferred.
  • Preferred experience in planning and events coordination with USAID or other donors.
  • Familiarity and experience working on projects with a capacity building component is preferred.
  • Ability to work in a professional and cordial manner with fellow project members, visitors, and the public.
  • Proven ability to work collaboratively across diverse sets of stakeholders.
  • Knowledge of USAID’s rules, regulations, and procurement practices preferred.
  • Fluency in spoken and written Arabic and English required.

  5-Location of the Assignment

The Capacity Building Coordinator will be based in CSP’s main office in Beirut and will be expected to travel to CSP’s areas of operation as needed.

  6-Reporting

The Capacity Building Coordinator will be reporting to TO 3 Director, or equivalent.
