Job Purpose:
The Finance Assistant is supporting the Finance Delegate/Manager, for the overall financial management of the GRC Regional Office in Beirut to ensure an optimal timely performance.
Job Duties and Responsibilities:
Checking Finance documents
Prepare the monthly files to be submitted to the Finance Department in Berlin in accordance with the deadlines, ensuring the availability of all supporting documents, signatures and inform line manager of any missing documents
Check monthly accountancies received from GRC country offices in the region and inform Regional Finance delegate/manager of the correctness of vouchers and missing documents if any.
Translation
Perform translation of key information as required on vouchers, CBAs, quotations, contracts and agreements etc before documents are submitted to Berlin.
Filing
After validation of the accountancies ensure that all accountancies are copied and filed in the same order for retention within the MENA RO.
Sort and compile payments accrued by GRC MENA RO with countries’ accountancies.
Ensure that originals are securely packaged/ labeled and sent to Berlin in a timely manner.
Copying
Copy and file to the same system for retention within the delegation.
Dispatch the shipment to HQ shipment and update the tracking system of documentation sent accordingly.
Transactions
Facilitating bank transactions including cash withdrawals, cash deposits, check deposits, collection of bank statement, etc.
If required handle the petty cash transactions, preparation of the office payment authorizations for signature, ensure that all supporting documentation is attached.
Other tasks
Implement any other finance related tasks as assigned by Finance delegate/manager
Education:
Accounts/Finance/Business/Administration Studies or minimum professional experience in Finance-Administration - Required.
Experience:
Minimum 2 years work experience in a financial role - Preferred.
Experience of working for a Humanitarian Organization - Preferred.
Experience of working with web-based accounting systems - Preferred.
