Logistics Officer

Background: Logistics Department is one of the main support functions that helps IMC Lebanon to maintain a strong mission and support the entire operation while applying the organization procedures and abiding by all the rules and regulations as needed. The logistics department function cover and includes procurement property management, fleet Management, security, and warehousing.

Job Purpose: The Logistics Officer coordinates the logistics activities on site and liaises with the Senior Logistics security & Fleet Manager to ensure a good coordination and efficient communication in all the logistics department and is responsible for all the overall good functioning of the daily office logistics activities. S/He ensures a smooth implementation of logistic procedures and provides support to other support and program functions. S/HE carries out the specific duties rising on daily basis related to fleet and office management or specifically given by the direct supervisor.

Main Responsibilities: In charge of the correct implementation of International Medical Corps procurement guidelines.
Plans weekly movements in coordination with the senior logistics officer and other department focal points. And assigns trips to drivers accordingly.
• Manages closely daily trips in coordination with IMC staff.
• Coordinates drivers RFL and assists them with submitting their requests and provides support as needed during any issue related to timesheets.
• Responsible of compiling “screening data” for WH, Central and BML offices and submit the data to HR department.
• Updates the Office/field attendance schedule for drivers and cleaners according to their schedules, and submits the sheets to the HR department.
• Assists the Senior logistics officer with submitting PRs related to IMC offices and on the procurement of some needs when required.
• Performs regular visits to the field offices to support staff with IT needs.
• Assist the Senior logistics officer and the Senior logistics security and fleet manager on the procurement of apartments and offices’ lease agreements.
• The main focal point along with the senior Logistics, security and fleet manager of the mapping application tool. Collecting coordinates to offices, PHCCS,
Community Centers, warehouses and apartments and populates the data in the mapping tool.
• Printing IMC IDs for IMC staff as required by the HR department.
• Work with the IT department on monitoring Beirut office Generator and prepare the monthly report.
• Provides support to IT department if needed. Networking, assigning assets, maintain IMC equipment
✓ Setting up accounts for new users
✓ Support staff remotely if any IT problems; troubleshooting, connecting printers/scanners, etc.

Essential Qualifications:

  • Bachelor’s degree holder or equivalent technical degree.
  • Substantial knowledge of standard logistics procedures and practices required.
  • Good levels of written and spoken English.
  • Excellent interpersonal skills, including ability to operate effectively across organizational bounders.
  • Strong sense of urgency and work ethic
  • Can tolerate working under ambiguous circumstances and sometimes difficult situations

Desirable Qualifications: Good level of technical skills in IT /Communications

Essential Experience: A minimum of 2 years in Logistics field

Desirable Experience: Minimum of 1 year experience at NGOs/INGOs or UN agencies

Essential Competency: 

  • Fit for purpose country fleet of vehicles and engine equipment following IMC vehicle fleet management guideline, including training of drivers/operators, control
  • Ability to establish and maintain effective partnership and working relations in multicultural, multi-ethical environment with sensitivity and respect for diversity
  • Knowledgeable in Microsoft Word, Excel and Powerpoint Applications

Desirable Competency: Having attended any training related to Security and logistics is a plus
