Zoom Technical Support

The Diakonia International Humanitarian Law (IHL) Centre promotes respect for the laws of war through independent research, advice, and advocacy. The Centre's Syria Regional Desk, based in Lebanon, combines in-depth analysis of the conflict in Syria and the region with capacity development and advice for humanitarian actors. It engages with humanitarian organisations, State and non-State actors, civil society, academics, and other stakeholders to raise awareness and share knowledge about international humanitarian law.

Objective of the procurement

The Centre's Syria Regional Desk, based in Lebanon, is seeking procurement of an IT company to provide technical support for one year period starting July 2022, prior to and during approximately 15 working days (webinars/online meetings/video conferencing); Dates and number of hours per day to be confirmed.

You are invited to submit a tender based on the Terms of Reference (Appendix 1) and other requirements included in this Procurement Request.

Deliverables

The IT company is expected to perform the following tasks in coordination with the IHL Center Programme Officer:

  • Event Preparation: Preparing and customizing webinars and meetings on Zoom/Teams and mainstream platforms. Setting up Q&As and polling. Sending reports & analytics after each event.
  • Running the Event & Technical Support: Helping Trainers/speakers with any technical issues prior and during all the online sessions. Providing remote technical assistance, live support and general troubleshooting. Managing panellists’ activities (including whiteboards and shared materials) and breakout rooms. Setting up interpretation rooms and supporting interpreters. Ensuring smooth running of captioning. Managing Meeting flow & participants engagement during polling and Q&As. Hosting controls such as mute/unmute panellists, and event recording.
  • Confidentiality and non-disclosure: Ensuring that information, data and contacts of participants remain strictly confidential and are not disclosed with third parties, unless upon explicit written request from the organisers.

To note that Diakonia already has a Zoom account.

Content of Tender

Your tender shall include the following information when sending it to Diakonia:

1) A presentation of the consultant(s) proposal to implement the assignment, including CV (education, expertise and previous experience of relevance).

2) Proposed time-frame, providing fees per number of hours/working day, valid for 90 days after submission deadline.

3) Itemised budget, all costs shall include VAT

4) Contact details of three references

5) Signed “Diakonia’s Code of Conduct for suppliers” (Appendix 2)

6) Signed “Confirmation of Eligibility” (Appendix 3)

Qualifications and Skills

  • Proven experience/record in online technical support.
  • Fluency in English and Arabic
