Archivist/Intern - Primary Health Care Center - Khiam

Essential Tasks:

The archivist staff will organize the medical files in the Archive department and will provide every patient with a file number based on the adapted criteria in the center. The staff will also abide by the requirements and needs of the primary health care center based on the MOPH accreditations.

Main Role and responsibilities:
  1. Numbering the patient’s files and giving every patient the relevant family file number
  2. Providing the receptionist with the patient’s files (from the archive department) based on the selected file numbers, and organize it based on the appointments/schedule.
  3. Providing new patients with numbers, based on the family file. In case there is no family file, a new number will be provided, followed by a referral to the social worker to open a medical file.
  4. Open medical files, record it and organize it in the archive depending on:
    1. Opening new files for the new families
    2. Registering the family names on the medical files
    3. Completing the files appropriately
  5. Returning the medical files to the archive department and organize them based on the numbers
  6. Quality checking of the hard copies files to organize them and to refer all the files and papers that were not benefitting from the services in the center for the past 3 years to be destroyed.
  7. Working on self-capacity building: following up on the trainings and workshops in the center.
  8. Ensuring the safety and health of staff and beneficiaries in the center: abiding by the regulations and guidelines that are related to occupational health, and fire prevention and control.
  9. Effective communication with all staff and beneficiaries in the center
  10. Inform the center director and/or coordinator about any incident or risk of a potential incident in the center.
  11. Commitment to hand washing and disinfection protocols, and respecting personal protective measures whenever performing the role in the health center.
  12. Commitment to sorting the medical waste based on the laws and regulations specific to the center
  13. Ensuring the organization and cleanliness of the archive department
