Office Assistant

Under the direct supervision of the Support Services Manager, the Office Assistant is responsible for providing IOCC- North (office staff & field staff) with any assistance required during the execution of their duties.

General Responsibilities

The primary responsibility of the Office Assistant will be:

  • Providing support at office level and field level to IOCC staff to perform the relevant tasks.
  • Managing IOCC fleet and drivers working in North Lebanon and Akkar.
  • Reporting to the office during regular working hours and performing overtime work when needed.
  • The Office Assistant hours of work are flexible, he should accomplish his tasks even if they are outside the office working hours, and he must be available on weekends as project needs. Compensation for overtime work will be provided in accordance with IOCC policies and procedures.
  • Directly assisting the following departments: Finance, Administration, HR, Procurement & Logistics, Programs.
  • Assisting the Finance and HR departments in having the office and field staff sign documents as needed.
  • Handling the delivery of all equipment and materials from and to the warehouse and facilitating the transportation of such equipment and materials to the needed areas.
  • Managing stock kept in the warehouse and receiving and dispatching items as per program needs.
  • Maintaining warehouse inventory and following up on stock levels and expiry dates, as well as coordinating with program staff about dispatching.
  • Acting as focal point for office needs (electricity, plumbing, schedule of staff, internet related issues, etc.)
  • Following up on procurement requests if any
  • Managing stationary orders and ensuring stock levels are respected.
  • Performing other duties as required.

Knowledge and Skills:

  • A good understanding of English (oral & written)
  • Familiar with Microsoft Office applications.
  • Good communication skills; friendly and easy going to accommodate with people. Good sense of direction and to be discrete.
  • 3 to 5 years of work experience. Relevant experience in similar position with an International Organization is an asset.

Working Conditions

Located in IOCC Tripoli office, with possible field trips.
