Procurement/Logistician

  •    Finding supplier to purchase raw materials and food products, as well as arranging the inventory in an easy-to-access manner and ensuring safe storage.
  •    Assist in purchasing and collecting quotations.
  •    Build and develop good relationships with suppliers and maintain them. 
  •    Examine and manage existing contracts.
  •    Negotiate with external vendors to secure advantageous terms.
  •    Coordinate with the project officer to conduct negotiations with suppliers regarding (product quality prices, specifications, discounts, penalty conditions, returned goods, delivery mechanism, discounts, payment method).
  •    Visit schools to send or receive materials or meals ingredients or supplies.
  •    Maintain the organization of the workplace and assisting volunteers to complete the process of preparing food.Share with the project officer any important information related to the quality of food, or any change in prices.
  •    Communicate with other key departments: program, communication, finance and administration when needed.
  •    Ensure that organization assets and equipment are taken care of.
  •    Participate in training opportunities.
  •    Develop inventories sheet to track received and consumed goods on daily basis to be able to prepare a daily inventory report and share it with the donors when requested, also to be able to ensure management of the stock and have regular update of the inventory.
  •    Purchase the needed food supply and other needed products and equipment taking into consideration the program's budget after the approval of the project coordinator.
  •    Track and report key functional metrics to reduce expenses and improve effectiveness.
  •    Collaborate with key persons to ensure clarity of the specifications and expectations.
  •    Perform risk management for supply contracts and agreements.
  •    Control spend and build a culture of long-term saving on procurement costs.
  •    Review all the logistics invoices and keep data updated.
  •    Archive logistics Files and settle procurement files soft and hard copies.
  •    Report regularly to the project manager.
  •    Coordinate, and ensure a smooth implementation of and adherence to logistic and security procedures and provides logistical support to the feeding program.
  •    Ensure that everything is in place before the programs start. ex: materials, equipment, running water ...
  •    Supervise the stock management, and support the PO and PM to complete the purchase orders.
  •    Oversee repairs and maintenance needed inside the kitchens.
  •    Able to set priorities and work with deadlines.
  •    Ensure maintenance in all kitchens.
  •    Check kitchen equipment when needed to know if there is something missing or damaged assets.
