Responsibilities
Receive visitors and provide them with first assistance.
Greet visitors in a professional and courteous manner and notify the relevant employee.
Ensure that the reception area is kept neat and tidy, so as to maintain a good image of the organization.
Handle and transfer all incoming calls, insuring that calls are answered effectively.
Perform other receptionist duties such as filing, photocopying.
Responsible for registering, typing, sending, distributing copies and filing all outgoing mail, as needed.
Maintain the storage of the kitchen hygiene and water supplies, monitor the quality/ quantity, and make new orders before the end of each month or as the need arise.
Maintain the storage of the stationary and place orders as the need arises from different departments monitoring the quality/ quantity and report any issues to the procurement department.
Open PO related to stationery, hygiene and water.
Provide accurate inventory by the end of every month.
Keep tracking sheets updated.
Coordinate with fleet department to check driver’s availability before booking a Taxi in order to decrease expenses.
Get quotations from Taxi companies to monitor prices and deal with cheapest option not to compromise on service
Keep taxi tracking sheet updated.
Provide vouchers for the Taxis & coordinate pick up and drop off with related staff.
Handle the conference room reservation.
Arrange for coffee breaks and coordinate with the event or meeting's manager to order the desirable meals.
Always keep the conference room file updated for any changes required.
Ensure that the conference room is always tidy & clean.
Follow up on any maintenance required for the conference room.
Receive and sort mail and deliveries.
Sort and distribute incoming mail.
Prepare outgoing mail for pick-up or courier.
Organize courier deliveries.
Attend and participate in capacity building trainings.
Attend and participate in WVL’s spiritual nurture and other organizational events.
Responsible of own security and actively contribute to a positive security culture.
Abide by the security policies and procedures and report any incidents or breaches to line manager and / or security manager.
Perform other duties as assigned by the Line Manager.
Requirements:
2 years’ experience in a similar related job.
Diploma in a field related to administration and secretarial support services.
Good written English, with good command of spoken Arabic and English.
Good interpersonal and written and oral communication skills.
Good organizational skills; ability to manage and prioritize tasks.
Computer literate with a high degree of proficiency and productivity.
