HR Assistant – Wadi Khaled, Akkar – 100 % activity

Function responsibilities include:

  • Under supervision of the Project HR Manager managing personal files in order to ensure accuracy, compliance and on time payments.
  •  Updating the HR database and personal files to facilitate HR processes  management.
  •  Updating Social security  Tax office files in order to meet legal requirements including specific amendments when necessary in order to ensure local labour and fiscal law compliance
  •  Preparing employment contracts in conformity with legal requirements including specific amendments when necessary in order to ensure local labour and fiscal law compliance.
  •  Preparing monthly pay slips for all staff, editing and updating the necessary data, in order to ensure the punctuality and accuracy of staff payroll.
  •  Following up of all expiring rental contract dates and inform the Administration Manager in order to leave enough time to arrange a renewal or look for some other alternative
  •  Making all administrative information available to the staff (posting, meetings, etc.), supporting  the Project HR Manager in translating documents into local language and assisting in meetings upon request.
  • Additional HR/ Admin tasks delegated by the Project HR Manager

-Specific activities:

  • Manages and updates all personnel files (including the HR Database) in order to ensure accuracy,Compliance and on time payments and facilitate all HR processes.
  • Prepare the payroll of the project by collecting the variable pay slip elements (Attendance sheet, leave request, Homere encoding, etc.)
  • Prepare the transfer sheet and send it to the finance department as per the admin calendar deadline.
  • Draw up monthly payslips for all staff, and final payslip and employeent certificate at the end of a contract in order to meet legal requirements while defending MSF’s interest.
  • Prepare employment contracts in conformity with legal requirements including specific amendments when necessary to ensure local labor and fiscal law compliance.
  • Make all HR and administrative information available to the staff (internal regulation,positng,meetings,etc.)
  • Assists the project FIN/HR manager in meetings and other activities upon requests
  • Supports and provides assistance to a qualitative recruitment process,including contacting the participants, supervising tests and participating in interviews.
  • Participates in the organization and conduction of training sessions.
  • Supports a standardized and well prepared induction and exit process
  • Assists in the advisory of supervisors on all HR related tasks, including shifts, holiday planning, appraisal and contract follow up.
  • Supports the project management team in the planning of HR operational needs and the associated budget
  • Prepare the project HR report, and update the mission contact list and the organizational charts on monthly basis.
  • Being in charge of the preparation of the Expat’s monthly per diems
  • Being responsible for the filing of the project HR documents according to MSF standards and local legislation.
  • Perform any other tasks as requested by the hierarchy.

- Required qualification:

Education

 

  • Essential: Bachelor’s degree in business or administration or any other related major

 

Experience

  • Essential: Two years of previous work experience.
  • Desirable: Previous experience in MSF or other (I)NGOs.
  • Desirable: knowledge of the NSSF form and procedures

 

Languages                       

  • Essential: Full professional proficiency of the Arabic and English language

 

Knowledge

  • Essential: Advanced level in using MS-Excel
  • Essential: Advanced level in using MS-Outlook
  • Desirable: Advanced level in using MS-PowerPoint

 

  • Essential:  Advanced computer literacy using Microsoft Office Word, Excel, and Outlook
