Administrative Assistant

Peace of Art is looking for an Administrative Assistant near Ain, Baalbeck-Hermel who is to be in person at Peace of Art’s office on a daily basis.

 

RESPONSIBILITIES:

  • Answer and direct incoming phone calls.
  • Organize and manage appointments and meetings.
  • Maintain updated contact lists.
  • Generate and disseminate correspondence, memos, letters, and forms.
  • Assist in compiling routine reports.
  • Establish and maintain an efficient filing system.
  • Manage office supply inventory and place orders as needed.
  • Offer general support to the team and assist youth.
  • Provide information in response to inquiries and requests.
  • Collaborate with administrative staff by sharing pertinent information.
  • Ensure equipment functionality through preventive maintenance and coordinating repairs.
  • Contribute to team goals by completing relevant tasks.
  • Perform administrative functions, including filing, typing, copying, binding, and scanning.
  • Safeguard confidential information appropriately.
  • Take accurate meeting minutes.
  • Coordinate office protocols and procedures.
  • Respond to email, telephone, and face-to-face queries.
  • Welcome and assist youth visiting the office.
  • Handle document photocopying and printing tasks for team members.
  • Maintain a professional and courteous communication environment.
  • Execute data entry tasks accurately.
