JOB TITLE: Supply Chain Officer

LOCATION: Beirut, with occasional field visits across Lebanon

START DATE: As soon as possible

JOB PURPOSE:


The role will be focused on support to Supply Chain team in procurement and administrative tasks aiming at an efficient supply chain and smooth run of operations in accordance with ABAAD - Resource Centre for Gender Equality standards.

S/he will be responsible for sourcing and purchasing the materials, equipment, and services that is needed for ABAAD - Resource Centre for Gender Equality operational functions.  S/he will also be tasked with tracking inventory, assisting in management of vendors, contractors, suppliers, and other service providers ensuring compliance with relevant rules and regulations. Also, s/he will be assisting in workshop set-up, venue and hotel rooms booking.

The work location is Beirut office. The service requires field visits to our field offices

 

REPORTING LINES:

 

Post holder reports to: Supply Chain Coordinator

 

KEY RESPONSIBILITIES:

Receives Procurement Requests (PR), Records PRs and updates Procurement Tracking Sheet.

Process the requests and PRs sent by program in collaboration with Supply Chain team.

Responsible for implementation of procurement procedure as per ABAAD - Resource Centre for Gender Equality procurement policy and threshold.

Sourcing Suppliers and send Requests for Quotations / Proposal to potential vendors.

Knows the local market and available suppliers. Selects the best suppliers to request quotes from as per price and quality from the vendor database.

Keeps suppliers contact records and update supplier ‘s list.

Uses all means of communication available in the most efficient manner to contact the suppliers and request the quotes

Submit the received offers along with Summery Bid Analysis (SBA) table to Supply Chain coordinator for review, validation and to issue related Purchase Orders (POs)

Delivers the Purchase orders to the selected suppliers. Ask signature and provides a signed copy to the supplier as order. Update Supply Chain Officer on Delivery time/location and other related details.

Proceeds to the copies and archiving of procurement file as per procurement procedure.

Support ABAAD - Resource Centre for Gender Equality team, consultants, visitors in Venue booking, Hotel Reservation, Transportations, Airport Pick-up, and drop-off and in other related logistical support.

Implements any additional task and duty requested by his direct supervisor.

 

 

REQUIRED SKILLS AND EXPERIENCE

Minimum 2 - 3 years of experience in supply chain, procurement, logistics or other relevant experience

University degree in Supply Chain Management, Business Management or related discipline;

Proven track record of working in a similar capacity with the nation and/or international NGOs in the region;

Experience in market sourcing, identifying potential suppliers and good negotiation skills.

knowledge and skills in computer usage including word, excel, power point, and social media;

 

COMPETENCIES

Good active communication skills & liaises with others

Very Good with working with Office 365, Microsoft Office application (Outlook, Word, Excel, PowerPoints)

Excellent analytical skills.

Good computer application skills.

 

Language Skills:

Excellent in English and Arabic
