Responsibility #1: Set up of the project monitoring mechanism
- At project proposal stage:
- Participate or advise the General Manager in the definition of project indicators in compliance with standard SF indicators and LRP frameworks when relevant;
- Design the M&E plan in compliance with the project objectives and logframe or similar, and validate with Program Manager or General Manager.
- At project level:
- Introduce, and ensure the M&E kick-off, internally and to external implementing partners when applicable;
- Identify the most adapted tools for data digitalization and set-up the online project M&E files;
- Participate in the revision of the MEAL plan when required by the donor.
- At cross-project level:
- Guide and supervise the preparation of the monitoring tools by the M&E officer;
- Guide, when needed, support the preparation of the datasets and other tools enabling the digitalization of the outputs and outcomes;
- At IT level:
- Suggest ways to foster the efficient use of the internal software and digitalization in general.
Responsibility #2: Coordination and implementation of the M&E plans
- Support M&E officer post Kick-off to ensure a good understanding of the project indicators and targets of the MEAL plan by the project team;
- Participate in management/project team meetings and update regularly the M&E team the information relevant on new projects, on M&E deadlines, specific tasks to support/achieve.
- Revise on a weekly basis with the M&E officer the progress of routine and punctual M&E tasks under his/her supervision and address the challenges.
- Supervise the quality control of data and deliverables by M&E officer and prevent/report on any challenge.
- Communicate with Project Finance service as needed at project launching and reporting steps to ensure aligned activities and tools.
- Coordinate regularly with external implementing partners on MEAL requirements and progress, when applicable;
Responsibility #2: Data management and analysis
- Ensure quantitative and qualitative data preparation, compilation and analysis for reporting needs.
- Update regularly the internal M&E matrix with project achievments and prepare M&E reports to the donor when required;
- Update on LRP-Activity Info SF projects information and report on M&E results.
- Set up the data entry of project information in specific donor software when applicable and ensure proper collection.
- Maintain SF internal records updated.
Responsibility #3: Project Reporting
- Develop and prepare high quality and timely reports for donors and partners on project progress while ensuring all requirements are met results on a monthly basis on the LCRP indicators as per SF contribution.
- Manage internal reporting processes by project staff.
- Coordinate monthly report outputs, highlights and success stories.
- Supervise the digitalization of M&E deliverables
Responsibility #4: Evaluation and knowledge management
- Document project challenges, Lessons Learned and share feedback to inform changes in on going or future projects.
- Supervise the implementation of an endline survey when relevant.
- Participate in the selection of external evaluators when applicable and facilitate its mission.
Responsibility #5: Other tasks
- Attend training sessions or similar activities to develop technical skills and knowledge.
- Participate punctually in LRP working groups and follow-up on sector updates and initiatives.
