Action against Hunger is an international non-governmental, private, apolitical, non-religious and non-profit organization created in 1979. Its goal is to combat hunger and dangerous situations that threaten men, women and children. Currently 500 expats and more than 5,000 employees are working for Action against Hunger in more than forty-six countries working in projects concerning four areas of focus: nutrition, health, food security and water and sanitation.
In Lebanon, the Syrian crisis continues to generate political, social and economic pressure due to the war in Lebanon and keeps more than 1.5 million refugees in a situation of increasing vulnerability. In this environment of political, economic and social uncertainty, our teams have maintained their high levels of humanitarian response and aid to Lebanon. Likewise, our interventions have been maintained in the Bekaa and northern areas, as well as in the south of the country, with a special focus on working in partnership or in consortium with other organizations and on institutional strengthening of the relationship with both donors. institutional, such as with local authorities and entities.
The Human Resources Assistant will support the effective implementation of AAH's HR policies while improving the quality and efficiency of HR services. Additionally, he/she will handle any additional tasks or adjustments as assigned by the HR Officer.
Objective 1: Support HR Administrative Processes (45%)
- Ensure timely updates and accurate employee records on PEOPLE ADS (HR System).
- Update the monthly leave balance of the staff and share with each department.
- Support in preparing monthly attendance sheets and follow up on their signature.
- Facilitate the submission of medical and work accident insurance claims and track them for efficient reimbursement.
- Maintain and update the contract calendar to ensure timely renewals and notifications.
- Handle the monthly training tracker and Annual Training Plan (ATP).
- Support in updating the monthly organizational chart and contact list of the base.
- Manage accommodation bookings (Guest House and hotels) for staff.
- Assist in refresher sessions on various HR SoPs.
- Translate documents (Arabic/English) as needed, including memos, emails, and meeting minutes.
- Perform additional HR-related tasks as required by the line manager.
Objective 2: Efficient Archiving and Audit Support (25%)
- Perform daily physical and digital archiving tasks for the HR documents, following AAH's archiving policy and guidance from the line manager.
- Assist with scanning and uploading HR files, including employee records, recruitment documents, and HR communications on PEOPLE ADS (HR System).
- Archive and secure all payslips and timesheets in accordance with the physical and digital archiving policy.
- Ensure accurate classification and naming of archived files for easy access.
- Support audits, contract consolidation, and preventive controls as requested by HQ and the Compliance Manager.
- Report any missing or incomplete documents/signatures to the line manager promptly.
Objective 3: Recruitment - Onboarding & Exit Process (25%)
- Assist with recruitment emails, monitoring technical tests, and generating the watchdog.
- Update the recruitment tracker and candidates' details in a timely manner.
- Prepare induction materials for new joiners (contracts, printing documents, email creation).
- Enroll new joiners in Virtual Campus and ensure their full briefing on the platform.
- Fill out the bank account documents for new joiners.
- Assist in preparing the internal communication emails for new joiners.
- Prepare the National Social Security Fund (NSSF) and Ministry of Finance (MoF) registrations and deregistrations of new joiners/leavers.
- Send emails to the health insurance to register and deregister new joiners/leavers.
- Coordinate with logistics to issue AAH ID cards for new joiners/change in position title.
- Print exit process documents for any leaver and assist with the steps if needed.
Objective 4: Security (cross-cutting)
- Respect the security rules specified in the mission and base security plan, see to
- it that the team under his/her responsibility complies with the security plan and performs the security management tasks that can be assigned in its protocols.
- Communicate with the security managers of the working location any security related information or noncompliance with the security plan
Objective 5: Support humanitarian activities of Action Against Hunger (cross-cutting)
- Support the emergency interventions of the organization as per the employees’ abilities.
- Support any activity that helps reach our humanitarian goals, as per the employee’s abilities.
Objective 6: Gender & Safeguarding (cross-cutting)
- Promote safe and equitable environments, through knowledge and application of the protocol against harassment and gender policy.
- Knowledge and compliance with safeguarding policy.
- Promote gender equality within the humanitarian and/or development work
Training/ Education:
- Bachelor in HR, Business Administration, Management, or another relevant diploma.
- Preferable HR Background
Technical specific knowledge:
- HR knowledge about recruitment, training, compensation and benefits, and administrative work is an asset.
- Knowledge of NSSF, Ministry of Labor and Ministry of Finance requirements for employers.
- Knowledge of the HR archiving process.
Previous experience:
- At least 2 years’ experience in HR, preferably in the humanitarian sector.
- Experience in using relevant HR software and personnel management tools.
- Experience in Archiving and maintaining employee files.
- Experience in Data Management.
Humanitarian sector knowledge:
- Preferable
Action Against Hunger knowledge:
- Preferable, but not mandatory.
Languages:
- Fluency in English and Arabic
IT and specific systems:
- Intermediate to Advanced knowledge of MS-Office applications (Word, Excel, Outlook, PowerPoint).
- HR system knowledge is a plus
