Consultant to Digitize an HR Module

Purpose of the assignment:


Kvinna till Kvinna is seeking a consultant to support a partner organization in integrating an existing Human Resources (HR) module into their digital system. The integration should be user-friendly, interactive, and accessible to both employees and HR personnel.

  • Automate HR Processes: Streamline key HR functions such as recruitment, onboarding, employee management, and performance evaluations.
  • Improve User Engagement: Develop an intuitive digital interface for HR professionals and employees to easily access relevant information and services.
  • Enhance Data Security: Implement stringent security protocols to safeguard sensitive employee data and ensure compliance with data protection standards.

 

 

Scope of Work:

The consultant will be responsible for the following tasks:

 

System Development

  • Architecture Design: Utilize a Service-Oriented Architecture (SOA) to ensure modular design, easy integration, and scalability.
  • User Interface Design: Develop a responsive, user-friendly interface tailored for HR tasks and employee self-service features.
  • Database Management: Design a secure and efficient database schema for managing employee records and HR processes.

Security Measures

  • Data Encryption: Implement encryption techniques for secure data storage and transmission.
  • Access Control: Establish role-based access control (RBAC) to limit data access based on user roles and responsibilities.
  • Audit Trails: Maintain logs of user activities to track access and modifications to sensitive data.
  • Security Assessments: Conduct regular security reviews and penetration testing to identify and mitigate vulnerabilities.

Testing

  • Unit Testing: Test individual system components to ensure they function as intended.
  • Integration Testing: Verify seamless data flow and interaction between different system modules.
  • User Acceptance Testing (UAT): Engage end users to validate that the system meets their functional needs and expectations.
  • Performance Testing: Assess system performance under expected workloads to ensure stability and responsiveness.

 

 

Responsibilities and Deliverables:

The consultant is expected to deliver:

 

  • Functional HR Module: A fully integrated digital HR module within the SOA framework that meets all specified requirements.
  • Comprehensive Documentation: Detailed documentation covering system architecture, user guides, and security protocols.
  • Testing Reports: Summarized results from all testing phases, including identified issues and resolutions.

 

Timeline:

The assignment is expected to be completed in 4.5 months. Key milestones and deadlines will be agreed upon with the selected expert.

 

Required qualifications:

The ideal consultant should have:

  • Expertise in HR digital transformation, software development, or e-learning systems.
  • Experience in designing and developing digital HR platforms or training modules.
  • Proficiency in user experience (UX) design and accessibility best practices.
  • Familiarity with HR policies, procedures, and compliance standards.
  • Strong project management, communication, and documentation skills.
