Administrative Assistant l Secretary

Position Overview:
Due to the urgent nature of the projects Stouh Beirut is currently implementing, we are seeking a highly efficient Administrative Assistant (25 to 40 years) to join our team immediately. The successful candidate will play a key role in ensuring smooth operations by providing essential administrative support. This position requires someone who can work under pressure, handle multiple tasks, and adapt quickly to the dynamic needs of our humanitarian efforts.

 

Key Responsibilities:
Perform daily administrative tasks including managing Stouh Beirut's phone calls, president's emails and calendar, and general correspondences.
Organize and maintain filing systems for important documents and reports.
Schedule and coordinate meetings, preparing necessary materials, and taking detailed minutes.
Assist with logistical planning and support for ongoing activities, workshops, events, and meetings.
Manage office supplies, ensuring timely procurement for operational needs.
Support the preparation and distribution of reports, presentations, and internal communications.
Maintain databases, including donor records and contact lists.
Serve as a point of contact for volunteers, partners, and external stakeholders.
Provide administrative support for ongoing programs.
Hold the organization's external communications as needed.
Ensure timely submission of reports and updates to management and stakeholders.

 

Qualifications:
Proven experience as an Administrative Assistant, Office Manager, or in a similar role.
Excellent organizational skills with the ability to prioritize tasks under tight deadlines.
Strong verbal and written communication skills in Arabic and English (French is a plus).
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace.
Ability to work independently and collaborate effectively within a team.
Detail-oriented with excellent problem-solving skills.
Prior experience in the non-profit or humanitarian sector is an advantage, particularly in emergency relief work.
Education:
A Bachelor’s degree in Business Administration, Management, or a related field is preferred but not required if relevant experience is demonstrated.
