Finance & Administration Officer

Key Responsibilities

Accounting and Financial Management

  • Record and maintain accurate financial transactions in the accounting system.
  • Prepare and process vouchers, invoices, receipts, and journal entries in accordance with internal policies.
  • Reconcile supplier accounts and ensure timely settlement of liabilities.
  • Monitor accounts payable and receivable, identifying discrepancies and resolving issues promptly.

Financial Reporting and MIS

  • Generate periodic financial statements and analytical reports from the Management Information System (MIS).
  • Assist in financial forecasting, variance analysis, and donor-specific financial reporting.
  • Support the development and improvement of MIS-related procedures to enhance data reliability and accessibility.

Budgeting and Procurement Support

  • Assist in the preparation and monitoring of project budgets and financial plans.
  • Collaborate with the Director to ensure budgets align with the goals and funding requirements.
  • Support procurement processes by verifying quotations, maintaining vendor files, and ensuring compliance with procurement policies.

Administrative and Compliance Duties

  • Provide financial and administrative support to internal teams, field operations, and donor-funded projects.
  • Ensure proper documentation and filing of all financial records for audit readiness.
  • Participate in internal and external audits, providing relevant financial data and documentation.

Other Tasks

  • Contribute to the continuous improvement of financial processes and controls.
  • Perform additional duties as assigned by the Director to support the overall functioning of AEP.

Qualifications and Competencies

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • Minimum of 2–3 years of experience in accounting and finance, preferably in the NGO or microfinance sector.
  • Demonstrated experience working with accounting software and Management Information Systems.
  • Solid understanding of financial reporting standards, procurement regulations, and donor compliance.
  • High level of accuracy and attention to detail.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Ability to prioritize tasks, meet deadlines, and work effectively under pressure.
  • Fluency in English is required; knowledge of French is an asset.
