Key Responsibilities
Accounting and Financial Management
- Record and maintain accurate financial transactions in the accounting system.
- Prepare and process vouchers, invoices, receipts, and journal entries in accordance with internal policies.
- Reconcile supplier accounts and ensure timely settlement of liabilities.
- Monitor accounts payable and receivable, identifying discrepancies and resolving issues promptly.
Financial Reporting and MIS
- Generate periodic financial statements and analytical reports from the Management Information System (MIS).
- Assist in financial forecasting, variance analysis, and donor-specific financial reporting.
- Support the development and improvement of MIS-related procedures to enhance data reliability and accessibility.
Budgeting and Procurement Support
- Assist in the preparation and monitoring of project budgets and financial plans.
- Collaborate with the Director to ensure budgets align with the goals and funding requirements.
- Support procurement processes by verifying quotations, maintaining vendor files, and ensuring compliance with procurement policies.
Administrative and Compliance Duties
- Provide financial and administrative support to internal teams, field operations, and donor-funded projects.
- Ensure proper documentation and filing of all financial records for audit readiness.
- Participate in internal and external audits, providing relevant financial data and documentation.
Other Tasks
- Contribute to the continuous improvement of financial processes and controls.
- Perform additional duties as assigned by the Director to support the overall functioning of AEP.
Qualifications and Competencies
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- Minimum of 2–3 years of experience in accounting and finance, preferably in the NGO or microfinance sector.
- Demonstrated experience working with accounting software and Management Information Systems.
- Solid understanding of financial reporting standards, procurement regulations, and donor compliance.
- High level of accuracy and attention to detail.
- Strong analytical, organizational, and problem-solving skills.
- Excellent interpersonal and communication skills, both verbal and written.
- Ability to prioritize tasks, meet deadlines, and work effectively under pressure.
- Fluency in English is required; knowledge of French is an asset.
