Log Officer (Saida)

Particularly involved in the fight against diseases linked to unsafe water, the first cause of death in the world, SI's interventions provide expertise in the field of access to drinking water, sanitation and hygiene promotion, but also in the essential area of food security and livelihoods. Present in around twenty countries, SI's teams - 2000 people in total made up of expatriates, national staff, permanent staff at headquarters, and a few volunteers - work with professionalism and commitment while respecting cultures.

Solidarités International (SI) is determined to prevent and fight all type of abuse – all act of exploitation, abuse and/or sexual harassment (SEAH) against members of beneficiary communities or collaborators, fraud, corruption, violation of persons and/or property, funding of activities harmful to human rights – that could be perpetrated in the frame of its interventions. Mission: 

Under the supervision of the Log\Admin manager, he/she will perform or oversee repair/maintenance/building work within agreed deadlines. He/she carries out the purchases for the structure for his/her assigned base. He/she manages the receipt, storage, safe-keeping and delivery of food, goods, tools and equipment used by Solidarités International.

Tasks and Responsibilities:

 

Implementation of purchasing process:

  • Receive and process requests for quotes and IOFs after verification and approval by his/her line manager
  • Implement purchases while respecting the rules and approval procedures established by donors and Solidarités International
  • Ensure that the format of, and information on quotes and invoices comply with regulations
  • Ensure compliance with administrative procedures for the management of advances and payment of suppliers
  • Establish and archive purchasing files in accordance with the rules of Solidarités International and its donors
  • Monitor and update IOFs electronically

Management of stocks

  • Draft or complete dispatch and receipt documents in compliance with Solidarités International standards
  • Monitor incoming and outgoing goods, maintain updated inventory lists
  • Participate in monthly stored goods and equipment inventories and reconciliation with what should be in stock

Technical Management

  • Ensure regular maintenance of Solidarités installations/equipment/facilities, notably through a preventative maintenance plan (procedures, scheduling etc).
  • Check that enough necessary consumables and materials are always in stock for routine repairs and ensure their management; transmit orders timely.
  • During execution of work, ensure the safety and security of the premises (or immediate surroundings).
  • Supervise and eventually train day laborers employed for assistance

Fleet management and maintenance

  • Verify that the proposed rental vehicles comply with Solidarités International regulations
  • Organize the schedule of vehicle movements in collaboration with his/her line manager

Vehicle monitoring

  • Check that vehicle log books are in place and are used correctly
  • Ensure that the administrative documents for all vehicles are available, filed and monitored

Reporting:

  • Ensure the compilation of price lists and suppliers
  • Ensure the monitoring of IOF requests and inform your line manager of the status of their orders
  • Participate in the drafting of activity and inventory reports
  • Immediately notify manager of any problems occurring during his/her service, in particular any loss, damage, theft or attempted break-ins.

Security

  • Ensure that visibility equipment is available onboard the vehicle

Human resources

  • Participate in the hiring process for drivers
  • Ensure the continuous general training of drivers
  • Participate in the appraisal process of line report staff(s).

A salaried post : 1325  USD as basic salary + COLA +  transport + phone allowance 

Vacation : 1.75 paid leave per month
