General Goal: The school administrative assistant provides essential administrative and clerical support to ensure the efficient operation of the school office. This role assists the principal, teachers, students, and parents by managing communication, organizing records, and supporting daily school operations.
Job Responsibilities:
- Monitor the arrival and departure times of the teachers and the number of their working hours and document it on their attendance sheet.
- Check the reasons of the student's absence for the day before, document it on their records and send the updated records to Bekaa office.
- Sign all the receipts upon receiving the requested orders.
- Update the attendance sheet of the students’ every day.
- Reply emails clearly, accurately and on time.
- Update the fuel table upon receiving the consumed quantities from the employee on charge.
- Monitor the warehouse and update the inventory accordingly.
- Print any papers that could be requested by any Kayany employee and teachers (Exams – Visuals- GRN - receipt of bills ... etc).
- Support the teachers in their needs such as photocopy, stationary …etc.
- Deliver the time sheets and other related documents of the school each month to the HR clearly, accurately and on time.
- Control carefully all the distribution processes such as distribute the books, stationary, winterization kits to all students in the beginning of the academic year, distribute the fuel during the winter,….etc.
- Monitor the work and register the attendance hours of the drivers, bakers, Janitors, and the security guards.
- Print the student's report card (marks) after each exam and deliver it to their parents.
- Check for the school's needs with all the responsible employees, prepare the orders accordingly and then deliver it to the office on time.
- Involved in the weekly/biweekly/monthly report in coordination with the principal.
- Assist the School Principal upon request.
Qualifications, Skills, and Personal Attributes
- Bachelor's Degree in Business Administration, or any other related field.
- Previous experience in a similar role is an asset.
- Basic proficiency in Microsoft Word and Excel, as well as familiarity with basic computer programs.
- Good verbal and written communication skills.
- Strong organizational and team working skills.
- Good cultural awareness and sensitivity.
- Highly approachable, and maintains confidentiality.
- Fluency in Arabic and basic knowledge of English are required.
