Human Resources Assistant - Bekaa - 100% Activity Rate

Scope of responsibility:

Execute administrative, HR and legal related tasks to support the Project HR Manager following MSF standards and procedures, in order to ensure legal compliance and to realize the HR capacity required to achieve project objectives

 

Accountabilities:

  • Under supervision of the Project HR Manager managing personal files in order to ensure accuracy, compliance and on time payments.
  • Updating the HR database and personal files to facilitate HR processes management.
  • Updating Social security Tax office files in order to meet legal requirements including specific amendments when necessary in order to ensure local labour and fiscal law compliance
  • Preparing employment contracts in conformity with legal requirements including specific amendments when necessary in order to ensure local labour and fiscal law compliance.
  • Preparing monthly pay slips for all staff, editing and updating the necessary data, in order to ensure the punctuality and accuracy of staff payroll.
  • Following up of all expiring rental contract dates and inform the Administration Manager in order to leave enough time to arrange a renewal or look for some other alternative
  • Making all administrative information available to the staff (posting, meetings, etc.), supporting the Project HR Manager in translating documents into local language and assisting in meetings upon request.
  • Additional HR/ Admin tasks delegated by the Project HR Manager

 

 

Specific accountabilities:

  • Manage and update all personal files (including HR database) in order to ensure accuracy, compliance and on-time payments and facilitate all HR processes
  • Take responsibility for all correspondence and filing of administrative documentation efficiently and confidentially
  • Support and provides assistance to a qualitative recruitment process, including supervising tests and participating in interviews
  • Contribute to qualitative appraisal and development planning processes
  • Assist in the organization and conduction of training sessions
  • Support a standardized and well-prepared induction & dismissal process
  • Assist and support in the advising supervisors on all HR-related tasks, including roster and holiday planning, appraisal and contract follow-up
  • Supports the Project Management Team in the planning of HR operational needs, HR budgeting and the related operational needs
  • Follows up on the cost of living on a regular basis
  • Serve as point of contact for MSF staff on HR-related information and supports them in their needs in a professional and productive manner

 

Education

  • Essential Bachelor’s degree/Diploma in HR, Finance, Business or administration

Experience

  • Essential previous working experience of at least two years in relevant HR/Admin jobs
  • Desirable experience in MSF or other INGOs

Languages

  • Essential full professional proficiency in Arabic and English

Knowledge

  • Essential computer literacy (word, excel and internet)
  • Basic knowledge about Lebanese Labour Law
