LLWB full-time Project MEAL Coordinator (PC for the below) is responsible for the effective and efficient day-to-day coordination, operational oversight, and execution support for LLWB projects from ideation, initiation through closure to monitoring and evaluation phase after closure with impact report. This role contributes directly to LLWB's mission by implementing project activities derived from strategic program goals, fostering strong partner relationships, and driving membership growth
Reporting Relationships
Reports to: Program Manager, Head of Programs
Liaise with: Communication and partnerships lead, finance officer, procurement officer, ED
Guides: Administrative and HR officer, Procurement officer, Project officer(s), Project Assistant(s), Volunteer(s), Intern(s).
Key Responsibilities & Duties
The Projects Coordinator's main tasks and deliverables include, but are not limited to, the following:
Project Coordination & MEAL:
- The PC works closely with the LLWB managers and team members and coordinates the project assigned to him/her, making sure all deliverables are met on time and all activities are being done as planned.
- Handles outreach activities of project in terms of outreaching and supporting in selection CSO, WLB, experts, and supporting in handling procurement.
- Contribute to the development of detailed project work plans, timelines, and budgets, in close collaboration with LLWBProgram Manager and/or Head of Programs.
- Closely follow up LLWB projects and activities, ensuring objectives are met within scope, time, and budget.
- Coordinate project resources, logistics, expert recruitment, and team progress to ensure timely deliverables.
- Coordinate, execute, and promote LLWB activities.
- Actively work towards assuring the successful execution and completion of projects, demonstrating adaptability and problem-solving to overcome challenges under diverse circumstances.
- Draft comprehensive project reports, activity reports, and other relevant documentation for review and finalization by the Programs Manager or Head of Programs.
- Assist in closing out the projects, including finalizing reports, document success stories in writing and video shooting, documentation, and deliverables are also gathered and archived.
Coordinating Partnership & Stakeholder Engagement:
- Manage operational relationships with project partners as requested by LLWB.
- Organize and facilitate panel discussions and workshops with diverse stakeholders as requested by LLWB.
- Communicate and monitor adherence to all donor requirements, project goals, and objectives by LLWB program/project staff and local implementing partners, raising any concerns to the ED and PM.
Monitoring, Evaluation Reporting and Learning - Lead on the development in close collaboration with colleagues of MEAL framework, in addition to all other MEAL tools required for the effective implementation of the project including measurable indicators;
- Monitor and track LLWB activities and outputs with Key Performance Indicators (KPIs) , Means of Verifications as per deadlines set as per LLWB procedures and in accordance with donor/partner compliance.
- Find Solutions to implementation challenges for projects and activities
- Follow up on development of feedback forms, perform their analysis and inform all teams on best practices and areas of improvement in a timely manner.
- Conduct research and contribute to Monitoring & Evaluation (M&E) activities, as assigned, to assess project impact and regularly gather data to feed LLWB master sheets and story of change as well as feed into national reports.
- Prepare comprehensive project progress reports, including detailed narrative components including gathering, collecting and archiving the Means of Verifications for each activity.
- Handling community and various stakeholders feedback and complaints, the coordinator needs to ensure transparency and responsiveness to beneficiaries and stakeholders
- Upholding ethical and participatory standards.
- Contribute to data collection and analysis for overall program reporting as required by the Programs Manager.
- Prepare regular management and operational reports covering the achievement of key milestones agreed in plans and submit reports on time.
- Actively participate to trainings, workshops when asked for.
LLWB Membership Engagement & Growth:
- Recruit a minimum of 20-25 new members to the organization per year, actively engaging potential members through project activities, outreach events, and networking.
- Regularly collect and analyse the data related to LLWB members, ensure the data related to LLWB members and network remains confidential and is not leaked to any third party.
- Develop and implement strategies to convert project beneficiaries and participants into active LLWB members in different regions of Lebanon
Project progress report & Finance Management & Logistics:
Project implementation:
- Monitor project progress, conduct regular evaluations, and prepare and draft comprehensive reports for LLWB, stakeholders and partners/donors.
- Ensure compliance with organizational policies, procedures, and project-specific regulations.
- Capture learning and document areas of improvement and successful stories.
- Develop from each budget a clear phasing document in close collaboration with finance officer and PM, for the efficient and effective implementation of the project within the set budget parameters
- Create a detailed work plan which identifies and sequences the activities needed to successfully complete the project in a timely and efficient manner.
- Develop a schedule for project completion that effectively allocates the resources to the activities;
- Review the project schedule with the ED and all other concerned team members involved in the project activities, and revise the schedules as required;
- Plan, implement, and evaluate projects in accordance with project objectives, timelines, and budgets.
Logistics
- Organize and manage logistics for project-specific events, training sessions, and workshops, ensuring smooth execution.
- Coordinate with relevant internal and external parties for venue booking, catering, transportation, and materials.
- Policies
- Fulfill the responsibilities of the Security Officer, maintaining robust security protocols and procedures.
- Is responsible for PSEA at LLWB and needs to ensure all staff, permanent and or non permanent, abide by the zero tolerance policy of LLWB.
- Documentation and deliverables
- Ensure proper documentation and record-keeping of all project-related expenditures, invoices requests, templates, request for receipts
- Ensure proper documentation of list of deliverables
- Ensure clear e and hard copy archiving of projects documentation in the office and on LLWB drive.
- KEY PERFORMANCE INDICATORS (KPIs):
- Regularly collect and update the MEL KPIS and ensure collection of MOV for activities
- Effective contribution to the successful execution of activities within agreed-upon scope, budget, and timeline;
- Handle outreach activities for main activities and project and follow up closely with LLWB members and participants
- Support in all procurement processes and ensure that they are fully using LLWB good governance policies
Regularly check achievement of specific KPIs;
- Recruitment of a minimum of 20-25 new LLWB members annually;
- Timely and high-quality submission of all project reports (narrative and M&E inputs).
- Positive feedback from partners and stakeholders on coordination and engagement.
- Actively lead, and develop gender training and or PSEA, security and or gender and research and MEAL trainings as per requested and as per the trainings and continuous learning scheme received
REQUIRED QUALIFICATIONS:
- Education: Bachelor’s degree in International Relations, Business Administration, Social Sciences, law, development or a related field.
- Experience: At least 3-5 years of proven experience in project coordination or management, preferably within an NGO or development context.
- Gender mainstreaming experience demonstrated.
- Demonstrated experience in coordinating or significantly contributing to the implementation of projects.
- Language: Fluency in written and spoken Arabic and English is essential. French is a plus.
- Ability to travel and work on the field within the regions.
REQUIRED SKILLS & COMPETENCIES:
WORKING CONDITIONS/LOCATION:
- Full-time position based in Beirut, with travel and field work to other regions as per LLWB needs.
- May require occasional work outside of regular office hours to meet project deadlines or attend events and conferences, representing LLWB.
