The overall objective of this role is to actively contribute to the implementation of development projects related to the VTE sector. The position is instrumental in ensuring the smooth planning and implementation of activities (in-presence and online), supporting the achievement of project objectives and targets, and contributing to the development of the program’s strategy.
DUTIES & RESPONSIBILITIES:
- The Project Officer works under the direct supervision of and will report to the Program Manager.
- This is a full-time position. Mandatory office hours are 9:00 a.m.-5:00 p.m., Monday- Friday.
- This position requires regular field trips to technical institutes and training centers all over the country
- This position involves weekend assignments, with compensatory time allocated as per internal procedures.
The expected results of the collaborator’s activities will be:
Planning
- Collaborate closely with the Program Manager to support activities’ planning
- Coordinate organization of field activities, including beneficiaries reach-out, logistical arrangements, communication flow with technical experts, consultants etc
- Support the organization and ensure the effective implementation of agendas for incoming missions (HQ staff, partners, technical experts), with meetings and logistics carried out as planned.
Implementation
- Direct supervision of activities, to ensure smooth implementation and compliance with planning and technical requirements
- Provide feedback on important issues that require supervisor feedback, decision making, and tailored interventions
- Draft tools to facilitate execution and monitoring of activities
- Performs proper outreach activities and maintain regular follow-up with beneficiaries to ensure retention in activities
- Ensure effective and clear communication and flow of information with technical schools’ administrations, projects’ stakeholders, technical experts
- Attend and keep notes of meetings
- Providing written and oral Arabic/English translation as needed
Monitoring and reporting
- Draft and keep up-to-date tracking tools for beneficiary database and activity trackers
- Ensure regular and proper collection and filing of all activity-related documentation (hard and soft copies)
- Contribute to monitoring process at the field level by collecting, analyzing, and synthesizing data on project’s progress and outcomes.
- Assist in the preparation of reports, including compiling data, drafting narrative sections, and ensuring compliance with donor’s requirements and organizational standards.
Project Design
- Contribute to the development of program’s strategy through identification of activities’ best practices, challenges and lessons learned
- Assist in the drafting of project proposals, particularly in the drafting of narrative sections and logical frameworks and monitoring strategy
Admin & Procurement support
- Assist in managing small local expenses for project implementation
- Assist in regular and proper collection and filing of all administrative documentation (hard and soft copies)
- Assist in follow-up on pending documentation to ensure compliance with organizational policies and donor requirements
- Assist in the preparation of administrative materials for events
QUALIFICATIONS
- Previous experience (at least 5 years) in the context of international development, humanitarian assistance, or nonprofit organizations.
- Previous experience (at least 3 years) in a similar role, preferably in the sector of education and/or VTE
- Solid knowledge of project management principles and tools, including project planning, monitoring, reporting and design
- Knowledge and understanding of best practices in education programs, including technical experience in teacher training, curriculum development and youth engagement will be considered a strong asset
- Proficiency in using Microsoft Office applications (Word, Excel, PowerPoint) and project management software.
- Fluency in Arabic and English is required, with excellent written and verbal communication skills.
- Proficiency in French is an advantage
- Strong organizational skills, attention to details and flexibility
- Problem-solving attitude and ability to work under pressure
- Ability to manage multiple tasks and deadlines effectively.
- Excellent interpersonal and communication skills, ability to build and maintain effective working relationships with staff, partners, beneficiaries and institutional stakeholders
