Information Management Officer

Job Summary

The IMO supports the programme and MEAL departments in meeting their internal and external reporting requirements in a timely and high-quality fashion. Reporting to the MEAL Manager, the IMO manages the completion process, assists in running and managing the information management systems of the organizations.

 

 

 Main Tasks and Responsibilities

  • IM Systems and data management:
    • Administers, maintains and develops protection monitoring information management tools while providing support in data validation and extraction.
    • Ensure the compliance of information systems and process with the applicable standards and guidelines related to information management and data protection, including the protection information management (PIM) standards and guidelines and SHiFT’s internal guidelines.
    • Ensure effective data management by developing data collection tools and methodologies, designing and managing database systems for data management and analysis purposes.
    • Ensure availability of updated and quality information for informed decision making by SHiFT’s program team.
    • Ensure that all daily, weekly, and monthly reports to MEAL Department and to donor meet quality standards.
    • Identify and solve problems with existing reporting formats to ensure that they meet monitoring and evaluation contractual and internal requirements, together with MEAL Manager.
    • Develop new reporting formats to meet internal and external reporting goals, if required with coordination with MEAL Manager.
    • Provide additional information to the MEAL Manager on the activities for donor reporting purposes.
    • Creating shape files for SHiFT reports
    • Implementing new Database Modules and forms to automatize some tasks under direct supervision from MEAL Manager.
    • Creating and updating SHiFT Forms.
    • Creating and updating SHiFT Dashboards in collaboration with communication department under the supervision of the MEAL Manager.
    • Conducting drone surveys.
    • Updating SHiFT Datastore.
    • Creating New ERPs to support the programs.

 

 

 

  • Data Processing and communication:
    • Data interpreting and reporting within internal and external reports to the MEAL Manager.
    • Providing support for the preparation and publication of external reports.
    • Providing QA/QC on data processing on SHiFT share point.
    • Modifying Data on SHiFT share point.

 

 

  • Completion:
    • Conduct Quality Assurance of data and task dossiers for completion as necessary, and report to the MEAL manager for review when needed.
    • Provide clearance information output when it is required by the Technical Operations Manager or other staff.
    • Measure completed Tasks using Trackers and ITTs.
    • Prepare task folders for handover and completion.
    • Conduct completion visits with MEAL officers.
    • Liaise closely with MEAL on completion.
    • Ensure that all the Completion Data and Information are up-to-date and saved as per the documents’ completion process.
    • Complete PDF files, handover the task, update the Excel completion sheet, and store completion Information.

 

  • Communication and Reporting:
    • Assist in information management as required.
    • Work as part of a team and liaise with other MAG personnel and Mine Action personnel to ensure a beneficial flow of information regarding Mine Action-related issues for the benefit of the MAG Lebanon programme.

 

 

 

 

Qualifications and Experience

  • Bachelor’s degree in information management, Computer Science and/ or related technical discipline relevant to data, systems, or information management.
  • At least 3 years of professional experience in information management, data systems in a humanitarian context
  • Extensive experience in managing excel files and their functionalities both offline and on google drive, in addition to writing complex excel formulas.
  • Experience in data collection tools and creation of online forms on ODK and Kobo.
  • Extensive experience in generating statistical dashboards, graphs and info graphics, and visualizing data using Microsoft Power BI.
  • Good inter-personal and communication skills with ability to engage professionally with beneficiaries and stakeholders in a cross-cultural environment.
  • Demonstrated ability to deliver results efficiently by setting clear priorities, organizing workload effectively, and adapting to changing demands.
  • Ability to foster collaboration and maintain positive working relationships across the team.
  • Demonstrated commitment to integrity, responsibility, innovation, and respect in all professional activities.
  • Proficiency in English and Arabic (both written and spoken).

Conditions

  • Full-Time working hours: 5 days per week, 8 hours per day, from 9:00 am till 5:00 pm.
  • Willingness to travel abroad for meetings and conferences (where applicable).
