Grants Officer

 

Role Purpose

The Grants Officer will provide direct support to subgrantees and program teams within the Tarabut project. The role centers on ensuring smooth grant processes, compliance with donor requirements, and effective follow‑up on subgrantee activities. The Grants Officer will act as a resource person for program staff and local partners, helping them understand and apply grant procedures, reporting standards, and compliance rules.

Generic Responsibilities

  • Support program teams and subgrantees in implementing grant activities according to the plan of action.
  • Ensure proper filing, tracking, and accessibility of grant‑related documents in both soft and hard copies.
  • Assist in sorting applicants and supporting the selection process for subgrants.
  • Provide guidance and act as a help‑desk for internal processes related to Project Cycle Management.
  • Support the maintenance of all grants, including donor rules, regulations, and deadlines.
  • Contribute to ensuring SF’s minimum standards for Grants Management are applied consistently.
  • Follow up with subgrantees to ensure activities are implemented within the contractual framework and report on progress.
  • Support compliance with SF subgrant proposals, deliverables, and timelines.
  • Track progress of CSOs, highlight gaps, and support realignment of activities when needed.
  • Demonstrate familiarity with project implementation, budget monitoring, and procurement practices in line with subgrant agreements.

Specific Responsibilities

  • Assist in the preparation of donor reports and proposals, ensuring consistency between narrative and financial reporting in coordination with program teams.
  • Be familiar with SF organizational and donor compliance requirements, and support adherence to procedures and deadlines.
  • Ensure donor templates and reporting tools are available and support capacity building of program teams and subgrantees in their use.
  • Maintain and update the internal grants tracker to ensure visibility of deadlines and share updates with relevant stakeholders.
  • Follow up with subgrantees on project implementation, including budgeting and procurement practices, ensuring compliance with SF and donor requirements.
  • Update Activity Info system and ensure accurate documentation of grant activities.
  • Carry out any other tasks delegated by the line manager that support program and subgrantee needs.

Professional Competencies

  • Bachelor’s degree in social sciences, humanities, business, or other relevant fields.
  • Fluent in English and Arabic, written and spoken.
  • Proficient in MS Office applications (Word, Excel).

Context‑Related Skills & Experience

  • Minimum 2 years of relevant work experience in social work, research, community development, NGOs, or outreach organizations.
  • Experience working with local communities.
  • Experience with budgeting and procurement processes.
