Logistic Officer

 

 Tasks and responsibilities

Manages and monitors the stocks of project’s materials, stationeries and office supplies, and supports the Project Staff  in the procurement of needed items;

Supports the Project Staff for the daily follow up and monthly inventory of assets and equipment;

Supports the Project Manager in the tendering processes for purchase, and to find and monitor suppliers’ compliance with COOPI’s regulations;

Compiles and maintains an established supplier list;

Follows the organization’s Procurement Policy;

Provides and files all the required quotations and documents;

Ensures that supplies and goods are obtained at the best possible prices;

Ensures and surveys transportation for delivery goods;

Prepares accurate and timely reports on stock / inventor

Maintains a proper filing of all documents (hard and soft) and a proper database of procurement documents;

Prepares a weekly calendar of trips, travels, and movements of project’s staff;

Fills in the cashbook and prima nota files according to the purchases done for the project.

Ensures prompt execution of other tasks which are within the responsibilities of a Logistic Officer and Driver, and any other task which may be requested by the Project Manager as needs occur.

Regularly inspects the office/guesthouse and assesses for any needs for repairs or preventive maintenance;

Receives and keep track of all maintenance requests and needs, and ensures necessary works are implemented in a timely and cost-efficient manner;

Follows and dispatches as per needs all furniture in the premises, and monitors any need for maintenance or purchase of additional items;

Supports the Project Managers in the follow-up and payment of rental and running costs (electricity, generator, water, internet, small repairs…).

Supervises and monitors vehicle checks and maintenance as per COOPI standards, and coordinates with the supplier car rental for all necessary maintenance and repairs;

Ensures the proper use and follow-up of fuel cards;

Prepares the monthly Fuel Follow-up and monitors vehicle consumption, alert in case of any discrepancy or anomaly

Ensures all vehicles are properly equipped as per COOPI standards (safety items, tools…), and have all necessary and up to date documentation (registration, rental contract, insurance certificate, logbook...);

Reports formally any incident, misuse or damage to the vehicles to the direct Supervisor;

Monitors the use of vehicles (consumption, mileage, maintenance, damages, administrative compliance);

Ensures the safe and efficient transport of staff/materials/goods;

Based in Beirut 

Handles a proper car logbook;

Respects Lebanon driving rules and regulations in order to ensure his/her safety and the safety of the staff when travelling with him/her.
