Assignment Context:
UNICEF, established in 1946 to provide emergency assistance to the most vulnerable children, now operates in over 190 countries and territories to advance the survival, protection, and development of every child. UNICEF supports child health and nutrition, water, sanitation and hygiene, quality education, and the protection of children from violence, exploitation, and disease, while also promoting opportunities for adolescents and young people to reach their full potential. In the current context, marked by heightened vulnerabilities and repeated shocks since late 2024, with a renewed escalation in early 2026, the demand for timely, coordinated, and high-level engagement has significantly increased. The Front Office therefore plays a critical role in ensuring strategic leadership, effective coordination, and streamlined communication to support the continuity and scale-up of UNICEF’s response. The UNV Executive Assistant will contribute to this effort by facilitating senior-level engagement, strengthening internal and external coordination, and supporting the efficient management of priorities in a dynamic and fast-paced environment.Top of FormBottom of Form Under the supervision of the Executive Officer, the Executive Assistant provides high-quality administrative and coordination support to the Front Office and the Deputy Representative, ensuring the smooth and efficient management of day-to-day activities. The role requires a proactive and service-oriented approach, with a strong focus on quality, timeliness, and results. In addition to duty station specific vaccine requirements, appointments are subject to confirmation of fully vaccinated status against SARS-CoV-2 (Covid-19) with a World Health Organization (WHO)-endorsed vaccine, which must be met prior to taking up the appointment. It does not apply to UN Volunteers who will work remotely and are not expected to work on or visit UNICEF premises, programme delivery locations or directly interact with communities UNICEF works with, nor to travel to perform functions for UNICEF for the duration of their contracts. Task Description
Within the delegated authority and under the supervision of the Executive Officer, the Executive Assistant will: Knowledge Management and SharePoint Management: . Assist in maintaining and regularly updating the Front Office SharePoint, ensuring a well-structured and user-friendly system with up-to-date documents, and key templates. Support the review, standardization, and improvement of templates to enhance consistency and efficiency. Tracking and Data Management: . Assist in developing and maintaining practical tracking tools and dashboards for Front Office priorities, based on data consolidated from different sections and units, to support monitoring, follow-up, and informed decision-making. Office Calendar and Planning Support: . Assist in maintaining and regularly updating a consolidated office calendar of key events, engagements, in close coordination with Partnerships and Communications to support forward planning and visibility. Generic Email and Correspondence Coordination:
. In close coordination with the Senior Executive Associate, screen generic UNICEF email, ensure timely triaging and referral to relevant colleagues and ensure appropriate follow-up.
General Administrative and Logistical Coordination:
. Assist in providing administrative and logistical support for meetings, missions, and high-level events, including preparation of venues, catering, and related arrangements.
. Assist with documentation and translation of materials as needed and contribute to the smooth and efficient functioning of Front Office operations.
Support to Deputy Representative Programme:
. Managing the Deputy Representative’s calendar and scheduling meetings
. Coordinating logistical arrangements, including transportation, travel, field visits.
. Providing secretariat support to key internal meetings including preparation of agendas, documentation, capturing action points, and tracking follow-up.
. Follow-up on Dep Rep approval requests.
Other Duties: Perform any other related tasks as required by the supervisor.
Living conditions and remarks
As this is a national UN Volunteer assignment, the UN Volunteer will be responsible for arranging his/her own housing and other living essentials. This position is based in Beirut, Lebanon. National UN Volunteers are part of the malicious insurance plan. National UN Volunteers are expected to be culturally sensitive and adjust to the prevailing culture and traditions. Conditions of Service for national UN Volunteers The contract lasts for the period indicated above with possibility of extensions subject to availability of funding, operational necessity and satisfactory performance. However, there is no expectation of renewal of the assignment. The applicable Volunteer Living Allowance is provided monthly to cover housing, utilities and normal cost of living expenses. Life, health and permanent disability insurance are included (health insurance for up to 3 dependents - except for UN Community Volunteers), as well as final repatriation (if applicable). Furthermore, in non-family duty stations that belong to hardship categories D or E, as classified by the ICSC, a Well-Being Differential (WBD) will be provided monthly.

At least 3 years of professional work experience, at the national and/or international level, in administrative, project management, planning, logistics or secretarial support.
Experience with admin support of senior officials is an asset, as is experience working in the UN or other international development organization.
Strong organizational, planning, and prioritizing skills and abilities.
Ability to deal patiently and tactfully with visitors.
Excellent oral and written skills; excellent drafting, formulation, reporting skills;
Accuracy and professionalism in document production and editing;
